This position is an outstanding opportunity for a highly-motivated administrative assistant to assume a pivotal role in the evolution of a fast-growing, highly-respected organization. As such, compensation for this role is competitive. The starting salary will be commensurate with candidate experience.

The Administrative Assistant will report to the Director of Global Human Resources and will assist the CEO, Board of Directors and Executive Leadership Team of Fisher Barton by managing their schedules, arranging Board of Director meetings, interacting with Fisher Barton Board members, taking notes at Board meetings, preparing documents for Board and leadership meetings, and coordinating follow-up from Board and leadership meetings. You will also support the Fisher Barton Corporate Headquarters and Technology Center administratively, welcoming visitors to the Tech Center, and planning team and customer events. You will work closely with the Human Resources team and be involved in HR projects and initiatives and provide administrative support for the team.

You will do this by:
  • Providing sophisticated calendar management for the CEO - prioritizing inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure day-to-day engagements.
  • Acting as a liaison and providing support to the Board of Directors. Arrange and handle all logistics for Board meetings and events; schedule meetings; draft agendas; develop, compile, and distribute presentation materials and record meeting minutes.
  • Researching and handling special projects and events
  • Serving as the primary point of contact for internal and external clients on all matters pertaining to the CEO and their ability to effectively lead the organization, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, exercising judgement to reflect the CEO's style and organizational policy
  • Coordinating all Executive Leadership Team meetings and assist with staff meetings and events as needed
  • Answering phone calls in a polite and professional manner
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Supporting HR Talent Acquisition,(TA,) including partnering with TA, Human Resources Manager's and operations to schedule job interviews, onboarding, pre-hire processes, and new hire orientation
  • Supporting Tech Center operations, including ordering parts, office supplies as needed. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization
  • Supporting entire HR Team with HR initiatives and projects, including data entry, regular reporting of data, and other HR processes
  • Creating a welcoming environment by tidying up common spaces, ordering supplies, stocking coffee stations, snack stations, and beverages
  • Receiving deliveries and dispersing to the intended party

Required Qualifications:
  • Minimum 2 years work experience as an Executive Assistant, Administrative Assistant or similar role. Experience supporting C-level executives preferred
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
  • Excellent verbal and written communications skills
  • Exceptional organizational skills and impeccable attention to detail
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, employees and customers
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Excellent judgment is essential
  • Ability to switch gears at a moment's notice
  • High School Diploma or Equivalent

Preferred Qualifications:
  • Bachelors Degree/PA diploma/certification is a plus
  • Board level experience
  • Human Resources experience
