Position Summary

Administrative Assistant – Universal will report through the Human Resources department and primarily assist with Human Resources matters, including primary backup coverage for the main branch Receptionist role, as needed. In addition, the Administrative Assistant – Universal may be assigned to other departments to provide interim coverage or assist with large projects.

Essential Responsibilities

  • Provide administrative assistance to the Human Resources Department and other designated departments and/or managers, as assigned
  • Serve as primary backup Receptionist
    1. Provide excellent customer service by greeting, welcoming, and directing customers appropriately
    2. Answer and forward incoming phone calls
    3. Observe and report any unusual or suspicious persons or activities in the lobby area or on camera monitors
    4. Issue visitor passes
    5. Assist employees with scheduling meetings on internal meeting location calendar
    6. Sign out company vehicles for employees

Competencies & Qualifications

  • High school diploma or equivalent
  • Excellent customer service skills
  • Strong interpersonal communication ability
  • Excellent organization orientation and keen attention to detail
  • Bias for initiative
  • Ability to learn and master computer systems for various departments and purposes
  • Strict adherence to confidentiality
  • Working knowledge and skill with Microsoft Office suite
  • Knowledge of basic accounting principles preferred
