Office Manager - Quickbooks Bookkeeper

Primary Responsibilities

  • Manage Receptionist/Dispatcher; Job File Coordinator; and other Office Admin Positions
  • Manage and perform Accounts Payable and Accounts Receivable duties
  • Monitor compliance and risk management
  • Ensure employment files and records accuracy
  • Oversee performance management and documentation
  • Develop the Office Division annual plan
  • Document and manage the Office division performance
  • Maintain accurate records in QuickBooks® Online
  • Create financial reports and perform analysis of Key Measurements
  • Monitor and maintain inventory, fixed assets, and business resume
  • Maintain tax, insurance, and compliance requirements
  • Maintain vendors, resources, and subcontractors
  • Prepare and maintain cash management reports
  • Provide HR administrative support
  • Complete and document HR compliance
  • Manage technology setup, protection, and tracking
  • Gather and coordinate hardware and software requirements
  • Maintain relationships with technology vendors


Position Requirements

  • 5+ year(s) of office, accounting, or customer service management experience
  • 3+ year(s) of experience with QuickBooks Pro® and Quickbooks Online (most recent versions)
  • Associate degree in accounting preferred or strong professional background of 3+ years bookkeeping experience
  • 2+ years of experience with collection activities
  • Experience in building a strong team with tangible leadership skills
  • Solid organization and planning capabilities, strong attention to detail
  • Demonstrated history of ability and growth in managing an office environment
  • Outstanding written and verbal communication skills, including proper pronunciation, grammar, and a consistently courteous and professional tone of voice at all times
  • Very self-motivated and goal-oriented with ability to multi-task
  • Capability to work in a fast-paced, team-oriented office environment
  • Proficiency in Microsoft Office (i.e., Outlook, Word, Excel) and QuickBooks® Online
  • Ability to learn new software and proprietary software
  • Experience in customer service industry environment a plus
