Company Info
Office Manager/Project Administrator
  • Support and assist the Business Owner with the administrative and customer support activities of the business.
  • Communicate with office team members, clients, building officials and suppliers to convey any pertinent information.
  • Manage the ordering, organizing, and distribution of office/mail/pantry/crew/HR supplies, and ensure supplies are stocked.
  • Make service calls for any equipment issues in the office.
  • Order lunch for crews, or set up lunch events for Upper Management
  • Approve invoices.
  • Obtain projects the company would like to bid on.
  • Enter and maintain project data.
  • Add projects to Bid Log and keep up to date.
  • Calendar Management - Maintain Estimating Calendar for GC bids and Public Bids
  • Enter project detail requirements for New Construction and private bids upon request.
  • Obtain any changes made to projects and/or contact county personnel for any missing information we need to price project.
  • Obtain Bid Bonds, P&P Bonds for potential or new jobs.
  • Keep a log for P&P Bonds obtained.
  • Assist with obtaining Permits.
  • Sort emails daily to meet deadlines on project bid dates.
  • Scan/print plans for Senior Estimator upon request
  • Print plans for Field Managers upon request
  • Manage tasks and reminders for every office project in a timely fashion and maintain client job folders as appropriate.
  • Enter GC jobs into Pavement Soft and update as needed.
  • Back up for front desk calls
  • Assist in the resolution of any client questions and/or complaints in a timely manner.
  • Answer calls to ensure the vast majority of client inquiries are met with immediate service.
  • Open, sort and date daily mail.
  • Filing
  • Contact Miss Utility to locate existing underground utilities and schedule portable toilets.
  • Manage Verizon Wireless account (LINQ). Order and setup phones for new hires or replacement phones for current employees
  • Ability to organize and manage multiple priorities and to work in a fast-paced environment.
  • Perform other related duties as reasonably assigned by the Management and Senior Estimator.
  • Adhere to all company policies, procedures, and business ethics codes. Trait and Skill Requirements: Independent work ethic and professional positive attitude.
  • Must possess a working knowledge of commercial construction documentation and pricing.
  • Ability to read plans and specifications and translate them into estimates.
  • BS/BA in Construction Management, Engineering, or a related field preferred.
  • 5+ years of experience in project management within construction.
  • Ability to communicate collaboratively.
  • Well organized, flexible, detail oriented and have the ability to multi-task.
  • Experience working with commercial or civil construction projects.
  • Advanced computer skills with estimating software.
  • Proficiency with Microsoft Office, Excel, Word, Outlook.
  • Excellent organizational skills and the ability to muti-task.
Physical Requirements
  • The physical demands described here are representative of this that must be met by an employee to successfully perform the essential function of this job.
  • Constantly required to see and utilize computer screens and monitors to perform job duties including reading & writing, as well as when presenting information and communication with others.
  • Must be able to traverse and inspect all areas of jobsite in all types of weather; this may include walking, climbing, reaching, bending, crawling, or stretching.
  • Occasionally lift and/or move up to 50 pounds.
  • This position may require up to 20% regional travel with an occasional increase in travel demands based on business needs.
Position Type/Expected Hours of Work
  • This is a full-time position, in person.
  • Monday through Friday
  • May have to travel within 100-mile radius.

  • Construction estimating: 1 year (Preferred)
  • Education in lieu of experience will be considered.
