SUMMARY
The Executive Assistant, reporting directly to the CEO of FindItParts, will deliver a high level of executive support in a one-on-one working relationship. The Assistant will be responsible for providing a wide range of support to the CEO, including, managing an extremely active calendar, arranging complex and detailed travel plans, strategic meetings, itineraries, and agendas, email correspondence, outreach to stakeholders and providing support outside of regular business hours.
RESPONSIBILITIES
Executive Support
- Govern an extremely active calendar of appointments by planning, coordinating and ensuring the schedule is being followed and respected
- Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities
- Oversee, prioritize and sort all incoming and outgoing communications, including emails, phone calls, reports and internal correspondence
- Coordinate and arrange complex, detailed travel plans, itineraries and agendas
- Compile and prepare documents and/or reports
- Organize event and off-site planning, including managing suppliers, agenda, scheduling, and logistics
- Compose and prepare correspondence that is often confidential
- Prioritize conflicting needs by handling matters expeditiously and proactively
- Ensure follow-through on projects to successful completion, often with deadline pressures
- Complete expense reports
Senior Leadership Liaison
- Collaborate with leaders on special projects, to gather information and prepare reports
- Attend meetings, take notes and then execute and follow through on action items
- Build strong relationships with all leaders in the organization
Communication, Partnerships, and Outreach
- Edit and complete first drafts for written communications to external stake holders
- Order gifts for prospective partners and suppliers
- Communicate on behalf of CEO to suppliers and external stakeholders
- Carry out vision of CEO in regard to organization culture and employee relations
QUALIFICATIONS
- 6+ years of administrative experience required
- 5+ years supporting VP level or above is required
- Willingness to be available during extended business hours, typically 7am - 9pm
- Ability to maintain a realistic balance among multiple priorities
- Strong organizational skills, with an exceptional response rate
- Excellent communication skills, both written and verbal
- Able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion
- Strong problem-solving skills
