Job Description

Bookkeeper / Office Manager

A real estate development & property management company is seeking a full time Assistant Property Manager & Bookkeeper. The company is based in Bethlehem, PA and owns residential and commercial properties throughout PA and NJ with a concentration in the Lehigh Valley. The company is a respected developer and manager in the area and all employees must be committed to upholding that reputation.

Office hours are 9 AM – 6 PM; flexible hours are negotiable

Responsibilities:

Assist Property Manager with:

- Tenant Contact – handling all tenant inquiries and questions via email or phone; coordinate with tenants for upcoming maintenance or leasing visits; collect rental payments

- Supervise Maintenance Staff – maintaining maintenance request priorities; delegating work orders; reviewing work completion; maintaining deadlines; monitor preventative maintenance

- Leasing Assistance – assist during busy leasing periods; facilitating property tours; explaining and signing leases with new tenants; managing marketing and advertising efforts; follow up on leasing leads; prepare & process lease applications

- Office Management & Administration – answering phones; answering door & greeting visitors; handling incoming/outgoing mail/packages; file documents

- Miscellaneous – coordinate city property inspections; coordinate with utility providers;

Manage Bookkeeping Functions:

- Full Cycle Bookkeeping

- Manage all aspects of A/R, A/P and Billing

- Accounts Payable will encompass the processing of all accounts payable transactions including ensuring accuracy of each bill, proper classification and making on time payments to vendors

- Accounts Receivable will encompass the accurate posting and classification of all receivables, rent, preparing deposit slips when needed, and maintaining accurate and comprehensive records

- Reconcile monthly bank accounts and credit card statements

- Monthly financial reports for management

- Filing

- General administrative and clerical support including data entry, mailing, scanning, copying, etc

- Answering phones and door for office visitors

- Maintaining an organized and presentable office space for visitors

Requirements and Qualifications:

- 3+ Years experience in bookkeeping

- Computer skills (Microsoft Word/Excel/Outlook)

- Experience with Appfolio, Quickbooks or similar software, a plus

- Professional presentation and conduct

- Must be responsible and self-managed

- Must have excellent follow-up and tracking skills

- Must have strong attention to detail

- Must have strong customer service skills

Compensation:

- $12-18 / hour

- $200 per month paid towards private health insurance

- Year end bonus based on performance review and company performance
