JOB SUMMARY

The Director of Operations works with the President, Fedcap Rehabilitation, and is responsible for managing the day-to-day operations necessary to ensure that the organization achieves its objectives in both Janitorial and Mechanical Areas.  This position supervises managers and supervisors, oversees Client Workers, interacts with customers, and ensures that all contracts are being fulfilled according to terms and specifications.

As a member of the leadership team, the Director of Operations will be responsible for establishing and maintaining a work environment focused on excellence and that fosters learning, respect, open communication, collaboration, integration, and teamwork.

ESSENTIAL FUNCTIONS

  1. Keeps the President abreast of activities at each location.  Collects and analyzes information and data on a daily, weekly, and monthly basis to properly manage the contracts and provide reports to the customer.  Reviews all purchases, invoices, and billing.
  2. Provides face-to-face direction and supervision to all Fedcap Managers including Manager of Operations, Area Manager, and Fedcap Building Managers/Supervisors regarding their performance, training, development, assignment of responsibilities, and other actions.
  3. Provides expense control, quality assurance, supervision, and staff management.  Reviews and approves Invoices to customers including sign in sheets, billing rates, using Oracle, etc.
  4. Approves requests for supplies and equipment sent from the Building Managers, and signs both original paperwork and on Oracle.  Signs off and authorizes payment of invoices to vendors and suppliers.
  5. Regularly meets with customers to ensure good customer relations is maintained and remediates issues and problems that cannot be resolved by on-site supervision.
  6. Oversees implementation of new contracts regarding start date, deployment and orientation of supervisory staff, client workers and subcontractors, ensuring all required equipment is in place at the site.
  7. Represents Fedcap Rehab at various proceedings concerning supervisors or client workers including progressive discipline, unemployment, compensation hearings, etc.
  8. Communicates with Vocational Rehabilitation Field Counselors concerning client workers’ job performance, needed interventions, special needs/accommodations and/or adjustment difficulties.  Reviews all disciplinary actions.
  9. Interviews and hires managers, supervisors and Client Workers required to fill open job positions.  Assures Client Workers meet disability and performance requirements. Notifies staff to prepare and then approves necessary paperwork.
  10. Ensures that Operations Manager, Area Manager, and all Building Managers/Supervisors have complete knowledge of contract cleaning and custodial/mechanical service specifications.  Assures that all personnel are up to date on training requirements – OSHA, Harassment, Green Cleaning, Customer Relations, etc.
  11. Visits and inspects all Fedcap Rehab building contract locations, both janitorial and mechanical, meeting with Fedcap managers to verify and ensure that contracts are being performed in accordance with terms and specifications.  Visits may be required outside of normal work schedule to ensure that performance is being evaluated at the time work is being performed.
  12. Ensures appropriate staffing levels of client workers are maintained to fulfill contract terms within Fedcap Rehab budget at each location.
  13. Makes recommendations to building manager/supervisors concerning methods of improving services, completing cleaning assignments and fulfilling contracts.
  14. Interacts with vendors and suppliers, assuring Fedcap is up to date with all industry trends.
  15. Responds to customer emergencies (flood, storms, snow removal, fires, etc.) as required on a 24-hour basis to ensure special cleanups and restorations.
  16. Prepares reports to customers, submits proposals for new and additional work, and works on contract modifications.
  17. Attends and participates in meetings and other Fedcap Rehab events as required.
  18. Interface with other departments at Fedcap – Human Resources, Billing, Accounts Payable, Payroll, Benefits, Information Technology, etc.
  19. Functions as an ambassador and liaison for Fedcap Rehab.
  20. Contributes to organization success by accepting new assignments, helping team members, learning new skills, and striving to improve team results.

QUALIFICATIONS

Job qualifications are stated in the Essential Functions of the job description. An employee must be able to accomplish the Essential Functions to be competent in the job. Other special requirements are noted below.

Education: Bachelor’s degree from an accredited college.

Equipment Skills: Commercial cleaning and custodial equipment.

Software Skills: Proficient with Microsoft Office Suite or related software.

Other Skills: Knowledge of Custodial/Janitorial Services and Mechanical and HVAC Services

Work Conditions:  Work is typically performed in the office, field-based settings, and various contract locations throughout NYC. Use of commercial cleaning equipment and supplies and noise levels commensurate with respective equipment.

Travel Demands:  Travel throughout NYC to work at various contract locations.

Hazards: Use of commercial cleaning products.

Job Experience: Five (5) years of extensive knowledge and experience in the provision of custodial services to public and private organizations.  Technical knowledge of equipment, materials, practices, and methods with respect to office cleaning is required as is at least five (5) years of supervisory experience.
