Job Description

Job Title: Administrative Manager

Job Summary:

This position is in support of the United States Marine Corps (USMC) Amphibious Vehicle Test Branch (AVTB). The Administrative Manager will provide administrative and daily operational support to the military and civilian leadership personnel at the Operations section of AVTB.

Responsibilities Include:

  • Coordinating on-site training events for the Operations department by scheduling dates, times, and ensuring the availability of correct equipment and material (e.g., laptops, conference room, notebooks, easels)
  • Updating the existing master list of action items provided by the Operations Officer for the weekly meetings and keep running tallies of action items from previous weeks
  • Archiving meeting records by uploading to the AVTB records management system or other designated areas
  • Updating the master PowerPoint slides, Portable Document Format (PDF), and Word templates and upload to SharePoint to maintain consistency across the organization
  • Update the four items listed below to reflect the information provided by AVTB civil
  • service employees regarding the new project:
    • Charter Template - used to reflect current details about the project
    • Integrated Project Schedule (IPS) - used to reflect a new project with the default planning duration
    • AVTB Master PowerPoint Slides - used to maintain the list of potential projects, project status, and pending test requests
    • Project Launch/Closeout Checklist - used to reflect the status of the tasks
  • Ensuring archiving project data is complete when reviewed and accepted by the project manager
  • Applying proper naming conventions as detailed in AVTB file naming convention instructions to all project documents, populate required metadata fields, and upload the documents to the AVTB records management system, per the instructions for updating information on the AVTB Project Center
  • Uploading audio recordings of meetings, provided by AVTB civil service employees, to the AVTB audio repository to support configuration management and decision traceability
  • Organizing and managing the Operations Department's paper and electronic records

Required Qualifications and Skills:

  • High school diploma
  • At least three (3) years of administrative management experience
  • Proficient in the use of all programs associated with Microsoft Office

Work Setting and Environment:

  • Monday - Friday, normal working hours
  • Work is to be performed at Camp Pendleton, CA
  • Salary $46,000-$55,000 per year
