We’re hiring a Senior Administrative Assistant
Our Clean Mobility Division is looking for a Senior Administrative Assistant for it’s office in Columbus, IN to support our Purchasing and Quality/Total Customer Satisfaction VPs’.
Under the direct supervision of the vice president this position provides administrative support for the vice president and department. In addition to typing, filing and scheduling, performs duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, supporting employee engagement and community events, and other special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
You’ll work on challenges that matter
This job will require you to
- Schedule and organize complex activities such as meetings, travel, conferences and department activities for all members of the department.
- Create and develop visual presentations for the vice president. Type and design general correspondence, memos, charts, tables, graphs, business plans, etc. Proofread copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Establish, develop, maintain and update filing system for the vice president and the department.
- Organize and prioritize large volume of information and calls. Answers phones for vice president. Takes messages/answers all routine and non-routine questions.
- Sorts and distributes mail. Opens mail for the vice president. Draft written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Act as a liaison with other departments and outside agencies. Handle confidential and non-routine information and explain policies when necessary.
- Assist the Administrative team with special projects on as-needed basis, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
The ideal candidate
To succeed in this position, you will ideally have:
- An Associate's degree in Administration; or its equivalent with at least 4 years of experience in the field or in a related area.
