Job Description

The Medical Customer Service Specialist – Level 1 is responsible for receiving incoming phone calls and performing initial registration and enrollment actions for new patients using the Quick Patient Registration form and other available tools.  They also distribute patient electronic intake forms and schedules follow-up phone calls with the eligibility team.  The MCSS will also schedule, reschedule, and cancel appointments as necessary and perform other workflow tasks as required. 

Supervisory Responsibilities


Duties and Responsibilities

Collects and prepares the Quick Patient Registration form.

Sends required intake forms to patients.

Setups Patient Portal Accounts.

Schedule’s patient IC2 Eligibility Verification appointment.

Works closely with patients and family members to determine their needs.

Addresses patient concerns or escalates the call to the Escalation Team.

Schedules, reschedules, or cancels patient appointments.

Tracks assigned tasks in InSync, Outlook, and eFax folders.

Answers incoming calls and responds to callers’ inquiries.

Transfers calls to the appropriate department.

Use the Nice InContact program to document availability to receive calls and to record the post-call disposition.

Performs other duties as assigned.

 Required Skills 

Excellent communication skills including active listening.

Ability to prevent, calm, and/or defuse irate callers and patients working with them to identify concerns and properly direct calls.

Service-oriented and able to resolve customer grievances.

Proficient computer skills with the ability to learn new software.

Ability to handle a high volume of calls.

Proficient with Microsoft Office Suite or related software.

 Education and Experience

High school diploma or equivalent.

Associates Degree in a healthcare related field preferred.

2+ years’ experience in a healthcare facility.

2+ years’ experience with insurance and authorizations, experience with Tricare West preferred.

2+ years’ experience with electronic health record (EMR) system, Insync preferred.

Call Center Customer Service experience preferred.

 Physical Requirements: 

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
