Sales Operations Specialist is responsible for supporting all stages of the sales cycle as a key member of the FEITIAN US Sales Operations team.

This position will be essential to the sales activities and communications between FEITIAN’s customers and internally with our Sales Directors, Account Managers, Technical Support Teams, Logistics and Manufacturing team. This role will execute the sales operations activities: sales orders, quotes & contracts, sales processing & bookings. They will be responsible for maintaining CRM/SFDC/Shipstation/QuickBooks throughout sales cycle. They will maintain effective communications with Account Managers and departments across the company to ensure proper sensitivity to the needs of the sales force and provide outstanding customer support to internal and external customers. Must be a quick learner and have the ability to adapt to a rapidly growing environment with multiple directional changes.

Duties/Responsibilities:

  • Understand and oversee operating guidelines of Sales Operations.
  • Act as a liaison between sales, purchasing, production, procurement, and logistics departments.
  • Work with sales and customers closely to get customers' forecast and demands and monitor rolling sales forecast preparation with supply chain team.
  • Follow up on order fulfillment to ensure on time delivery.
  • Participate in customer meetings (face-to-face/con-call) to maintain awareness of requirements/issues affecting projects and organize/write meeting minutes.
  • Manage and follow up on samples for customers.
  • Take ownership of customers' requests, inquiries; collaborate with internal cross-functional teams to solve customer issues and follow through to customer's satisfaction.
  • Monitor inventory and follow up on ETA/ETD with HQ supply chain team.
  • Ensure sales team alignment to sales processes, policies, and procedures.
  • Work closely with Account Managers, Technical Support Teams, Logistics and Manufacturing team, and other functional areas to support the sales team’s success.
  • Enter, monitor, and communicate directly with customers regarding status of their orders, shipments, samples, credit limit, payment, etc.
  • Process purchase orders in SAP/Ariba in a timely manner.
  • Work with Logistics/Accounting Department to monitor RMA status.
  • Manage existing opportunities, with direction from the Head of Sales Operations or VP of Sales.
  • Manage data entry of new opportunity details as needed.
  • Support other sales efforts as assigned.

Essential Requirements:

  • Bachelor’s Degree or equivalent professional training in data management, operations, business, or finance
  • 3+ years’ experience in Order Management and Fulfillment Processes
  • 3+ years in cross functional work streams with internal and external teams
  • 3+ years working and managing order in an ERP platform 
  • Must be extremely detail oriented and able to juggle complicated daily routines
  • Amazing written and verbal communication skills, with the ability to provide solution-oriented approaches to problem solving
  • Love dealing with internal and external Customers, quite often under pressure, while acting in a professional manner at all time
  • Have the willingness and self-drive to work through challenging times as we are building robust systems and process on the fly
