Job Title: Legal Assistant/Office Admin Status: Hourly
Reports to: Attorney/Owner of Estate planning practice
Position Summary
Legal Assistant/ Office Admin is required to perform confidential administrative and office management duties at the direction of the Attorney/Owner of the practice. The employee shall conduct a variety of research and analysis assignments, assist the legal team in preparing legal and/or administrative documents, and any office secretarial services needed.
Essential Duties and responsibilities
- Provide administrative support to Attorney and enhance office effectiveness
- Handle and maintain daily office operations, including greeting clients, responding to phone calls, performing minimal billing tasks, organize files, manage logistics etc
- Conduct initial in-take process and gather detailed information for Attorney
- Work with clients and demonstrate high level of professionalism when communicating in person, by email, or by phone to anyone
- Assist attorney in managing firm’s social media presence and updating website as needed
- Provide assistance with estate planning documentation and files. Conduct any research and analysis needed for the firm
- Assist in any filings with state and federal courts (including e-filings) as needed
- Use tact, discretion and independent good judgement and decision making in all employment tasks and handling of sensitive and confidential information
- Prioritize multiple tasks, meet deadlines and maintain high attention to detail
Minimum Qualifications
- Familiarity with law, legal procedures and protocols, and court system preferred
- Previous assistance in estate planning experience preferred
- 4-year college/university degree preferred but not required
- Must have valid Driver’s License
- Strong sense of propriety and discretion
- Must be flexible to work with the Attorney/Owner of firm schedule
- Proficient in Microsoft Office Suite – Word, Excel, PowerPoint, Outlook
- Must be thorough and detailed oriented, and can maintain composure under pressure
- Excellent secretarial and organization skills
Physical requirements
The employee is regularly required to sit, occasionally for prolonged periods of time; use hands to handle or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
