The Administrative Assistant/ Receptionist is responsible for consistent and professional management of the front desk and lobby area of ECS' main administrative office on 3rd Street. This position will be the first and last impression for any staff, visitors, guests, or participants who come into the office; as such, this position requires someone with a friendly and calm disposition.
Provide consistent and professional management of the front desk/lobby area.
Efficiently perform administrative/reception duties, and function as part of the administrative team at the 3rd Street Office.
Champion the ECS Path to Prosperity model (adapted from EMPath's Mobility Mentoring Model) throughout all of ECS by providing peer coaching, team support and Prosperity Model coaching as part of participant services.
High school graduate with administrative business school or some college education preferred; Associate's Degree highly desired.
A minimum of (3) three years of office experience in a receptionist/visitor facing role. Demonstrated organizational skills, including with electronic filing systems.
Excellent written and verbal communications skills. Excellent note taking and editing skills.
Applied working knowledge of English language (grammar, punctuation, spelling, and paragraph structure, etc.)
Advanced knowledge of the MS Office Suite (Word, Excel, Power Point, Outlook, Teams. Knowledge of and experience with PowerBI is a plus.)
Knowledge of office equipment: fax machines, large scale copiers and scanners.
Ability to type a minimum of 45-50 wpm accurately (must be able to demonstrate strong data entry skills in multiple database systems).
Ability to work independently, yet take direction as appropriate.
Ability to manage multiple tasks from various departments in a high volume environment.
Ability to understand and maintain client/staff confidentiality.
Ability to maintain a calm demeanor and provide conflict resolution counseling.
Duties and Responsibilities:
Organize, monitor, and assist with the timely completion of all administrative support functions related to daily the 3rd Street front desk/reception area.
o Sort and distribute mail/packages as needed
o Monitor and manage fax/copier functions and supplies
o General offices functions include maintaining ordering office supplies, postage machine, and typing, filing, and photocopying
- Coordinate FedEx shipments and Heaven Sent courier deliveries
- Provide general administrative support to the Shared Services departments as back-up to other administrative staff, which may include back-up to mail room support; ordering and/or distribution of office supplies, etc.
Front Desk Duties
Answer all incoming calls and direct as appropriate.
Greet all visitors, participants and venders with a pleasant, helpful demeanor.
Ensure that all visitors, participants and vendors sign in and out using the appropriate log book.
Maintain security by following procedures; monitoring logbook; issuing visitor badges and communicate any security concerns with COO and Facilities Manager.
Monitor security camera system as required.
Monitor and manage schedules for meetings, trainings, and other program activities using the agency meeting software.
