DIRECTOR OF FINANCE & OPERATIONS

POSITION OVERVIEW

Reporting to the Chief Executive Officer, The Director of Finance & Operations is responsible for the day-to-day oversight of the Accounting Department and overall operations of BuildAbility, with functional responsibility for accounting, accounts payable, receivables, payroll, grants administration, facilities, contracts, treasury, custody of BuildAbility assets, and compliance with OSHA regulations. The Director of Finance and Operations generates monthly financial reports, properly maintains all accounting records, accurately processes all financial transactions, tracks grants, and contract milestones, and produces reports as needed to communicate to the CEO and Board of Directors.

In collaboration with the CEO, the Director drafts and/or modifies contracts with vendors, tenants, and business partners as needed and makes recommendations to Board committees. Further, the Director oversees the administration of a comprehensive set of internal controls and budgets designed to mitigate risk and enhance the accuracy and level of the company's financial status. The Director ensures that reported results comply with generally accepted accounting principles (GAAP) and adhere to grant management standards that result in flawless audits. The Director oversees maintaining environment safety and efficient systems across BuildAbility.

The Director is responsible for establishing boundaries that prevent professional and personal interests from conflicting with the overall interests of the organization, including, but not limited to, providing accurate and timely information that fairly represents any potential areas of conflict. The Director of Finance & Operations performs his/her or their fiduciary responsibility to the organization within the ethical guidelines set forth by BuildAbility's Core Values.

ROLES & RESPONSIBILITIES

LEADERSHIP RESPONSIBILITIES

  • Develop, implement and actively manage organizational budget, cash flow activities, accounts payable, accounts receivable and all functions of the finance department.
  • Strategically partner with the CEO to develop financial strategies for sustainability and contract expansion.
  • Make recommendations to the CEO and Board of Directors relevant to the financial health of the organization, attendance at BOD meetings.
  • Collaborate and support Program Director/Managers to maximize department efficiency and effectiveness.
  • Recommend and report upon benchmarks against which to measure organizational performance.
  • Supervise, train, mentor, and evaluate staff and volunteers as applicable.

FINANCE RESPONSIBILITIES

  • Day-to-day oversight of the accounting department and all functions described in the summary above
  • Preparation of monthly financial reports, including income statement, balance sheet, budget and variance, projections and forecast, and cash flow.
  • Perform month-end closing procedures, including overhead allocations, account reconciliations, and updating schedules.
  • Ensure that all financial transactions are processed accurately, in a timely manner, and in accordance with generally accepted accounting principles.
  • Develop, implement, and maintain processes and controls that are current best practices related to transaction processing. Assist in issuing timely, accurate, and complete financial statements for all levels, including the Board of Directors, executives, and management.
  • Ensure the timely preparation of the draft audited financial statements and all tax returns.
  • Collaborate with HRIS system administrators and Human Resources to ensure the ongoing accuracy of payroll data and compliance with new regulations.

OPERATION & COMPLIANCE RESPONSIBILITIES

  • General oversight of BuildAbility's facilities, maintenance, OSHA compliance and IT department.
  • Manage grants reporting, compliance, and reconciliation; foundation/donor relations and reporting.
  • Supervision of Facilities Supervisor.
  • Suggest improvements in processes to increase organizational effectiveness.

QUALIFICATIONS

  • CPA is preferred but not required.
  • Minimum of 5 years of finance and accounting experience, including finance, accounting, audit, and analysis (including gathering, evaluating, presenting, and reporting financial information to management and external stakeholders).
  • Demonstrated experience in coordination of audit activities, budget development, and analysis, accounts payable and receivable, general ledger, payroll, and accounting for investments. Experience with the Regional Center or other governmental billing is preferred.
  • Advanced proficiency with accounting software
  • Advanced proficiency in HRIS and Payroll systems
  • Advanced proficiency in Excel
  • Experience working in the non-profit sector preferred, but not required
  • Proactive, hands-on manager with uncompromising ethical standards
  • Strategic thinker who possesses solid business acumen and is able to organize and manage multiple priorities.
  • Exceptional verbal and written communication skills and the ability to interact effectively with others internally and externally.
  • Excellent time management skills, with the ability to perform multiple tasks and meet critical deadlines while maintaining accuracy and quality.
  • Proven ability to make complex and time-sensitive decisions in the best interests of the organization
  • Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data; transcribing; viewing a computer; extensive reading; visual inspection.

COMPENSATION AND BENEFITS

Salary range is $100k - $120k based on experience. BuildAbility offers a generous benefits package.
