Executive Assistant
EnviroVac is looking for a highly organized and efficient Executive Assistant to join our team. This position will report to the Senior Vice President and work closely with the DOT Manager to ensure compliance with DOT guidelines, managing our fleet operations, and providing administrative support to the Senior Vice President.

EnviroVac is looking for a highly organized and efficient Executive Assistant to join our team. This position will report to the Senior Vice President and work closely with the DOT Manager to ensure compliance with DOT guidelines, managing our fleet operations, and providing administrative support to the Senior Vice President.
Essential Responsibilities:
- Schedule and track monthly random drug screen pool.
- Verify employee Commercial Drivers Licenses (CDLs).
- Schedule bi-annual physicals for employees who possess CDLs.
- Monitor employee driving records utilizing State and Federal guidelines.
- Connect with medical clinics throughout the United States to be used for drug screening.
- Compile quarterly vehicle mileage reports under the International Fuel Tax Association (IFTA) guidelines.
- Monitor drivers to ensure compliance with IFTA guidelines.
- Administer yearly driving record reviews of employees operating Commercial Motor Vehicles.
- Track roadside inspections and report needed repairs to maintenance shop.
- Manage expense receipts for Senior Vice President
- Execute time cards for fleet of 10-15 employees.
- Assist in ordering and distribution of vehicle license plates and registration renewals.
- Review route, order and distribute over-size weight permits for over-the-road trucks.
- Track and retain Daily Vehicle Inspection reports.
- Assist Human Resources with new hire paperwork when needed.
- Manage the calendar of the Senior Vice President, scheduling appointments and meetings as required.
- Coordinate travel arrangements, including booking flights, accommodations, and ground transportation.
- Take notes during meetings and distribute them to participants.
- Assist with the preparation of reports, presentations, and other documents as required.
- Conduct research and gather information as directed by the Senior Vice President.
- Assist in company event planning by organizing plans, vendors, accommodations, travel, etc.
- Assist with ad-hoc projects and assignments as required.
Qualifications:
- High school diploma required or equivalent work experience (1+ years).
- Minimum of 1 year of experience working with DOT guidelines for CDL drivers and IFTA reporting preferred.
- Experience communicating clearly and in a professional manner with company employees and medical staff.
- Ability to manage multiple tasks.
- Ability to track, maintain and communicate drug screening appointments throughout multiple states.
- Represent the company in a professional manner when in communication with customers, clinical staff and team members.
- Proficiency in Microsoft Office required.
- Effective listening skills and the ability to document drug screen results.
- Ability to work independently as well as in a team-oriented environment.
- Ability to travel occasionally.
