The Operations Support Manager?s role is to oversee the day-to-day operations of the support team to ensure efficient processing of deliverables and timely handling of tasks. Team responsibilities include permitting, subcontractor coordination, internet procurement, database formatting, departmental travel and other assigned functions in support of the Field Operations department.

Duties and Responsibilities

Management/Process & Procedures:

  • Oversee team tasks from start to completion, checking progress based on need-by dates and providing frequent status updates to management
  • Organize and prioritize team workload to meet project deadlines and department goals
  • Ensure consistent utilization of project management software to communicate task updates, and perform quality checks for detail and accuracy
  • Act as backup to Operations Support team members
  • Continually improve systems, processes, and training to facilitate efficient and professional customer interaction and a streamlined workflow
  • Identify productivity constraints and recommend remedial actions to management

Reporting & Analysis/Special Projects:

  • Analyze travel reports for trends and recommend cost saving initiatives
  • Maintain weekly and monthly job reports (labor hours, vehicle usage, regional job distribution, etc.) using time clocking, vehicle tracking and subcontractor data to analyze utilization and identify optimization opportunities
  • Manage and report on departmental productivity, including forecasting metrics, to continually improve operational efficiency of team
  • Develop and distribute monthly Operations management reporting dashboard
  • Perform other special projects and duties as assigned

Administration/Customer Service:

  • Review project documentation to become familiar with job needs and details
  • Review and approve team hours in time clocking software for payroll
  • Develop strong relationships with internal departments for collaboration purposes & timely resolution by maintaining open lines of communication
  • Respond to emails, phone calls, and other forms of correspondence
  • As needed, field escalations and provide routine updates to management
  • Ensure excellence in all aspects of customer support
  • Assist management in recruitment efforts, new hire setup and onboarding
