Position: Director of Project Manager (Marketing)

Department: Operations

Reporting To: Director of Finance and Operations

The Director of Project Management is responsible for both directly managing multiple complex projects across client accounts, while being accountable for the financial well-being and profitability of every project that ENTRADA executes on behalf of clients. Working in partnership with the Finance, Client Success, Strategy, Technology, and Content development teams, you will manage a team of Project Managers driving implementation of various kinds of projects including: digital CRM initiatives, qualitative and quantitative market research, design thinking workshops, new business pitches, and more.

The Director of Project Management is an analytical thinker and leader who steers the team to deliver the highest quality work on-time and on-budget. This level is new for ENTRADA and the new hire will have the responsibility of assessing current processes, recommending improvements, and socializing them company-wide. At ENTRADA, Project Managers are dedicated, process-driven, detail-oriented, problem-solvers who look to grow in their career as they master required skill sets and drive efficiencies for their teams.

The ideal candidate will have 7-10 years’ experience working as a key member of a project management team and possesses a desire to continually drive efficiencies that lead to high quality delivery. You are a quick learner who works methodically, excels in time management, and has the ability to oversee a team to take projects from start to finish within tight deadlines and a fast-paced environment.

This position reports to the Director of Finance and Operations.


Project Management 

  • Act as primary point of contact and project leader, aligning all projects across key departments for approval
  • Assess and manage resource allocation by project and make recommendations for increasing/decreasing resources based on accumulated data
  • Oversee medical/legal/regulatory submission process, including preparing and submitting assets for review and approval (as determined by brand and client)
  • Identify issues and risks facing the project, including identifying any approaching scope creep, and work with appropriate personnel to develop and implement solutions
  • Interface with clients by participating in client meetings, and/or conference calls; present timelines and project plans to internal and client teams
  • Lead debrief meetings post project completion with internal teams to identify and implement efficiencies and standardization opportunities 
  • Ensure client deliverables meet internal quality standards before proceeding to client review or launch
  • Oversee/manage periodic status reports (internal and client) and alert team to any delays in timing immediately as they occur 
  • Issue and analyze labor reports by project to assess employee utilization on a per project basis 
  • Communicate project needs and requirements to outside vendors and partners 
  • Collaborate with the design and technology teams to facilitate a seamless file transfer of packaged creative files to initiate programming 
  • Maintain digital records of creative and programmed assets within file repository to avoid version control issues

Financial Management

  • Develop/revise and track project plans and project profitability. Report project progress/status on a regular basis to the Client Success team and management
  • Be responsible for overall project health and profitability in conjunction with the Client Success team
  • Estimate labor and out of pocket expenses during each project scoping phase
  • Review employee time entries against project budgets and notify the account team of any budgetary risks
  • Actively review monthly labor tracking and report to the Client Success team

 Team Management

  • Manage a team of 2-3 Project Managers, including onboarding, training, ongoing support, day-to-day management, and recruiting as needed
  • Manage, configure, administer and lead implementation of our Project Management software, MavenLink
  • Identify, recommend and implement process and areas for optimization and efficiency in project execution 
  • Facilitate collaboration and communication between Content, Design, Discovery, Technology, and Client Success functions to coordinate on-time completion of deliverables

Required Skills and Experience:

  • Bachelor’s Degree is required
  • Minimum 7 years of project management or similar experience in a highly regulated environment
  • 3-5 years in a management capacity managing others
  • Experience with implementing and managing project management systems in a service-based business, including time, task and resource management
  • Specific experience in Project Management software such as MavenLink, Jira, Asana, or Monday is required
  • Proficiency in Microsoft Project for timeline creation
  • Knowledge and experience in digital platforms and applications is required (Including understanding of web domains, URL’s, HTML web tracking information and Google Analytics)
  • Ability to develop budgets for a service-based business
  • Proven experience creating estimates, monitoring project profitability, managing project budgets, as well as managing resource allocation and utilization
  • Excellent computer skills, high proficiency in Excel is necessary
  • Capacity to monitor and address scope creep against the defined scope of work
  • Ability to interface with Clients in a customer service role

Desired Skills and Experience:

  • Experience in pharma/healthcare is mandatory
  • Experience in digital CRM and Email marketing – an advantage
  • PMP certification is a plus, but not required
  • Understanding of technology database structures – an advantage
  • Med/Legal/Regulatory submission experience is mandatory
  • Experience in Med/Legal/Regulatory platforms (Veeva, Zinc) is an advantage
