Job Summary:

Inspired by our commitment to excellence, the Sales and Operations teams at Entertainment Cruises create unforgettable memories for our guests.  The successful Tour and Travel Sales Assistant will provide administrative support to the sales team and will assist in various sales functions ensuring revenue maximization and guest satisfaction.

 

Essential Functions:

 

Sales
  • Follows through on all sales related actions such as payments, receipts, processing checks, deck plans, allergen lists detail sheets, etc
  • Coordinates all components of a cruise including tickets, photo packages, and other special event orders
  • Works to identify new operators within the Tour and Travel industry and enters them into Salesforce

 

Guest Service

  • Performs pre-cruise calls with guests to confirm final counts and event details
  • Handles contract maintenance activities such as adjusting guest counts, adding additional products, and noting special needs for sales team members
  • Ensures complete and accurate product details are communicated to the operations departments to ensure proper execution of the product promised in a timely, efficient manner
  • Provides prompt responses to guest inquiries

 

Administrative

  • Documents guest interaction in Salesforce
  • Places orders and makes changes to previously placed orders using the reservation software
  • Maintains proper personal organization; manages time well, sets appropriate work priorities, and maintains accurate records
  • Collects payments and keeps abreast of accounts receivable

 

Deck Plan Coordination

  • Creates deck plans/floor charts for all student cruises 3 weeks prior to each cruise
  • Reviews deck plans with Tour and Travel Account Managers
  • Communicates completed floor charts to the Operations teams 30 days before
  • Reviews on board seating plans with Restaurant Manager to make sure each deck is set according to the designed floor plan
  • Ensures groups are entered on the correct vessel and decks in EBMS

 

Additional Responsibilities:

  • Attends applicable meetings as designated or necessary
  • Executes other duties as assigned by the Director of Sales or Associate Director of Sales

The successful Tour and Travel Sales Assistant will personally contribute to the creation of an unforgettable guest experience, will be favorably viewed by supervisors and peers, and will be swift and efficient in the execution of their assigned duties.

 

Job Specifications / Qualifications:

  • Minimum of 1 year of previous related work experience
  • Prefer associate’s degree (or higher)
  • Computer proficiency is essential
  • Communicate effectively in oral and written form
  • Maintain high level of organization
  • Be detail oriented
  • Handle multiple tasks/projects at one time
  • Focus on guest needs
  • Meet deadlines
  • Establish and maintain effective working relationships as required by job responsibility
