Job Description

THE ROLE:  Executive Assistant to the CEO

Spruce is looking for an Executive Assistant to perform a variety of business analysis and executive administration tasks in support our company’s Chief Executive Officer.

Executive Assistant’s responsibilities include basic business analysis such as situational analysis descriptions, basic quantitative analysis and network development.  Executive administration tasks include Board and CEO calendar management, travel arrangements, external communication with key stakeholders, administrative support and collaboration for Board of Directors meetings and preparations and normal local office support such as expense reporting or meeting set-up.  

To be successful in this role, you should be well-organized, have great time management skills, be able to act without guidance, and maintain a professional demeanor in a fast-paced environment. Ultimately, you will contribute to the executive team efficiency by providing the CEO personalized and timely support.

Key responsibilities include:

  • Internal corporate communication to executive and senior management team, including strong written and presentation skills in Microsoft Office (Word & PowerPoint)
  • Analysis and summary of business situations that impact the CEO
  • Execution and analysis of basic business items which may span the breadth of a corporation, including marketing, accounting, HR and corproate operations
  • Relationship management of key contacts, including Board of Directors and external business contacts
  • Golden Rule ethics and loyalty, top-tier interpersonal skills and cultural alignment with the CEO
  • Frequently act as the point of contact among executives, employees, clients, and other external CEOs and business executives
  • Manage information flow in a timely and accurate manner
  • Manage CEO calendars and set-up meetings
  • Coordinate/assist with managing C-Suite team meetings (staff meetings, town halls, quarterly on sites/off sites, etc.), both virtual and in-person
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly, or quarterly reports
  • Assist with document preparation, including internal and external CEO communications, letters, proposals, legal documentation, and Board of Directors meeting materials as needed
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • May include up to 20% travel


  • At least 3 years of work experience as a C-Suite level Executive Assistant, Personal Assistant, or similar role
  • Expertise with Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Familiarity with expense system reporting
  • Strong attention to detail and accuracy, with calm execution when under pressure
  • Exceptional ability to organize work and tasks, and excellent follow-through
  • Ability to work and thrive in a fast-paced environment and execute effectively against multiple projects and deadlines
  • Ability to interface effectively with all levels of staff within the company
  • Demonstrated ability to take initiative, anticipate needs and exercise sound judgment
  • Excellent verbal and written communications skills
  • Discretion and confidentiality


Bachelor’s Degree in a Business field, such as finance, marketing, business management or economics.
