Job Profile and Description:

We are seeking a full-time Office Assistant for a small construction company located in San Mateo County.

The Full-Time Office Assistant position reports directly to the Office Manager, and is primarily responsible for answering phones and performing various clerical tasks.

Duties and Responsibilities:

  • Greet visitors upon arrival to the office
  • Answer and direct incoming calls
  • Opening and sorting mail
  • Filing
  • Managing office supplies
  • Create transmittal's and material requisitions
  • Data entry and creating invoices
  • Other clerical tasks as assigned by the Office Manager and/or Officers

Assist the Office Manager with the following as needed:

· Accounting including A/P; A/R; Cost Plus; Time and Materials; Percentage Complete billings; Collections; WIP; P/R; G/L; cash management; monthly financial statements; annual reviews and audits

· Job Costing

· Certified Payroll

Skills and Specifications:

· Excellent written and verbal communication skills

· Must have at least 2 years of experience using Microsoft Suite

· Must be a team player

· Knowledge of The American Contractor is a plus

· Detail - oriented, efficient and organized professional

· Possess strong analytical and problem solving skills, with the ability to make well thought out decisions

· Highly trustworthy, discreet and ethical

· Resourceful in the completion of projects, and effective at multi-tasking

· Full understanding of General Accepted Accounting Principals

Experience:

Candidates must have administrative experience preferably in a construction related environment; must demonstrate excellent organizational skills, attention to detail, computer skills including MS Office (Excel/Word); a High School Diploma is required.
