JOB TITLE: HOUSING AND ECONOMIC DEVELOPMENT ADMINISTRATIVE ASSISTANT

POSITION SUMMARY

The Housing and Economic Development Administrative Assistant provides administrative support and assistance to the Housing and Economic Development Director, carries out property management duties for ECR/El Patio, and provides information and referral services to tenants.

ESSENTIAL FUNCTIONS

Administrative Assistant Functions:

· Provides administrative and staff support to the Director by answering phone calls, relaying communication to staff, collects weekly calendars, runs errands, APVs, and other assigned administrative duties.

· Maintains office schedule and department cleaning schedule.

· Assigns office duties and follow up for work-study students, volunteers, and interns.

· Works collectively and with Director, and holds confidentiality in sensitive matters.

· Matrix updates and assigned special projects.

· Assists with Business license renewal, tax-exempt applications, Secretary of State Corporate filings, and other data gathering.

· Performs other duties and responsibilities as assigned.

Property Management Functions:

· Send out timely eviction and out-of-compliance notices.

· Receive and reconcile rent in a timely manner.

· Coordinate repairs with maintenance staff and contractors including handling emergency maintenance issues.

· Prepare contractor invoicing.

· Prepare annual and quarterly reports for funders (City of Seattle, HUD, State of Washington and WSHFC).

· Ensure compliance with contractual obligations and funding requirements.

· Ensure billings are done in a timely manner.

· Ensure that tenant-landlord laws are adhered to in the management of all housing and apartments.

· Plan and coordinate board meetings including scheduling, establishing quorum, keeping board minutes and following appropriate bylaws for North Beacon Hill and ECR.

· Coordinates and conducts monthly tenant meetings at El Patio.

· Monitor warranties related to recent facility rehabilitation, and schedule repairs covered by warranties as needed.

· Provide case management for ECR Transitional Housing participants and referrals for programs and services of El Centro de la Raza and other agencies.

· Performs other duties and responsibilities as assigned.

Tennant Information and Referral Services:

· Links and refers Plaza Roberto Maestas (PRM) and El Patio tenants to appropriate services at El Centro de la Raza or at other agencies.

· Research various agency emergency and other services to determine eligibility requirements and enrollment process.

· Maintains and updated resource list of available services of El Centro and outside agencies available to tenants.

· Provides emergency resource information, directions and contact information for tenant participant’s specific needs.

· Documents and records incoming tenant participant’s specific needs request, and compiles monthly reports.

· Collects demographics for reporting.

· Coordinate referrals and maintain quality inter-agency relationships on behalf of El Centro de la Raza and its tenant participants.

· Promote and maintain effective relationships with community partners and El Centro de la Raza staff and volunteers.

· Outreaches to tenants with information on El Centro programs, and events.

· Attends monthly PRM Tenant Meetings.

· Performs other duties and responsibilities as assigned.

· Collaborate with El Centro de la Raza’s Development, Leadership Team and employees to achieve the mission, vision and volunteer program goals of the organization.

· Ability to work cooperatively in a high-volume, fast-paced environment, and work well under pressure with the Housing and Economic Development Director and other administrative staff.

· Perform the role in a way that reflects the values and principles of El Centro de la Raza.

· Demonstrate teamwork and open communication.

· Demonstrate organizational skills and a have detail-oriented approach.

· Handle highly confidential materials and maintain confidences.

· Understand overall agency operations.

· Follow organizational policies and procedures.

JOB QUALIFICATIONS

Essential minimum skills, education, and experience:

· Bilingual Spanish/English.

· Bachelor’s degree and 5 years of work experience.

· Passion for the mission and vision of El Centro de la Raza.

· Ability to work independently, maintain a sense of priorities, meet deadlines and the capacity to coordinate multiple tasks.

· Ability to work well under pressure and manage time effectively.

· Highly organized, self-motivated, multi-tasked, detail-oriented and team-oriented.

· Ability to work collaboratively and effectively with internal staff and external contacts.

· Must possesses strong written and oral communication & coordination skills.

· Proficient in Microsoft Office and Outlook. Experience with Salesforce is a plus.

· Volunteer coordination or related experience is a plus.

· Maintains a valid driver’s license and proof of insurability.

WORKING CONDITIONS/ENVIRONMENT

Works in a general office environment 40 hours per week. May require a flexible schedule.
