CHURCH ADMINISTRATOR

Mission

The Church Administrator fulfills our mission and supports the overall wellbeing of the faith community by organizing and coordinating office administration, policies and procedures, staff and ministry partnerships.

Job Summary

The Church Administrator serves as the hub of administrative and relational connection for Edmonds United Methodist Church. The Church Administrator will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with minimal supervision. The Church Administrator must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office and congregation of diverse people. This 40-hour salaried position will report directly to the Administrative Pastor.

 

Responsibilities

 

1. Support to Pastors

a. Work together with Pastors to provide support to all ministries of the church

b. Oversee Adult Spiritual Formation registration, coordinate facilitators, and secure required materials

c. Coordinate and execute the Financial Assistance Program with Pastor’s approval

 

2. Church Facilities

a. Manage the church facilities during closure

b. Review and maintain the facilities plan and capital expenses

c. Coordinate the distribution of building and card keys

d. Ensure the church doors are unlocked when needed during building closure

e. Manage relationships and contracts with vendors and service providers

f. Manage church usage by internal and external groups

i. Oversee the scheduling of and payments for church facility usage and rentals, including weddings and memorials.

ii. Work closely with custodial staff to ensure event set-up and related needs are met

3. Administration

a. Supervisory Responsibilities

i. Building Manager

ii. Church office volunteers

iii. Other office employees as needed

b. Review and recommend updates to employee handbook annually

c. Review and update job descriptions as needed or annually in conjunction with Staff-Parish Relations Committee (SPRC)

d. Maintain, update, and publish written office and staff policies and procedures

e. Coordinate local and national staff and volunteer background checks ensuring up-to-date records for all church ministries

f. Assess staffing and volunteer needs and work with Pastors/SPRC to address concerns

g. Prepare and conduct annual performance reviews with direct reports

h. Oversee creation and maintenance of Outlook accounts, OneDrive cloud-based server, and office server

i. Order necessary office supplies

4. Financial and Legal

a. Maintain business and non-profit status credentials

b. Oversee all contribution processes

c. Oversee and coordinate financial and accounting processes

5. Communications

a. Compile and send weekly eNews

b. Effectively utilize and update website

c. Create onsite signage as needed

d. Prepare annual reports including charge conference report, annual conference statistical report, and EUMC annual report

e. Review and update electronic communications policy and procedures

6. Membership

a. Oversee and maintain an accurate membership database with a quarterly review

b. Coordinate with the Welcome Team and Ushers on attendance and statistical procedures of data and collection

c. Coordinate new memberships and membership transfers, including new member Sundays

d. Review connectional processes (homebound, welcoming, new members, baptism, transfer, etc.)

e. Provide oversight for the church directory, electronic and hardcopy

7. Committee Membership

a. Attend Church Council, Trustees, Staff Parish Relations (SPRC) and Finance Committee meetings[l9] , as requested

b. Coordinate with Welcome Team, Usher Team, Blue Vests

 

Qualifications

· Bachelors or equivalent work experience

· Minimum two years directing the work of others

· Proven office management, administrative, HR, and administrator experience

· Working knowledge of Office 365 Suite, Outlook, Google Applications, Mailchimp, Squarespace

· Knowledge of church software such as Servant Keeper and FellowshipOneGo

· Knowledge of troubleshooting basic computer issues

· Experience working in a church environment is desired

· Approachable, open-minded, flexible and adaptable

· Familiar with or willingness to become familiar with and support the United Methodist Church tradition and theology

· Commitment and support for congregational mission and statement of inclusivity

· Collaborate well with church staff and congregants

Additional Information

Employment at EUMC provides paid vacation and sick leave, 10 paid holidays per year, a health benefit package and eligibility to enroll in the United Methodist Personal Investment Plan (UMPIP) a 403(b) retirement plan.
