Job Description

Summary: Performs a wide variety of HR administrative responsibilities. In support of various HR programs, the candidate must be able to effectively interface with all levels of management, internal and external customers, with professionalism.

Duties/Responsibilities:

• Performs HRIS data entry, i.e. process Personnel Action Forms (PAFs) for new hires, terms, etc.
• Assists with benefit administration, i.e. processing of enrollments / changes, COBRA, right to convert letters, etc.
• Processes medical and child support orders. Responds to reference checks and verifications of employment (VOEs).
• Creates, maintains and distributes new hire orientation packets and 401k new enrollee kits. Mails to applicable locations / employees as needed.
• Assists with preparation of HR reports such as new hire, term, master census, turnover, etc.
• Maintains time and attendance database for MA division by setting up new employees and temporary personnel into the system and removing terminated employees, as required.
• Performs monthly and quarterly audit of vendor invoices (ADP WFN, drug screen, background screen, health insurance, service award, etc.), as well as audits of HR files and records.
• Assists in updating and posting documents to the HR SharePoint site.
• Maintains company organizational charts.
• Prepares and maintains employee files, assuring accuracy, compliance and confidentiality.
• Coordinates employment related postings associated with federal and state requirements.
• Assists with employee activities and events for the Newburyport, MA location.
• Performs support functions for the HR department as needed, i.e. filing, faxing, coping, mailing, ordering supplies, creating posting and flyers, and other related duties.
• Assists HR team with various research projects and/or special projects.
• Back-up reception to the front desk as needed.
• Performs other related duties as assigned.

Required Skills/Abilities:
• Strong communication skills, both written and oral.
• Excellent organizational skills and attention to detail. Ability to manage multiple priorities. Must be able to work in a fast-paced environment with changing needs.
• Strong grammar skills and the ability to proofread.
• Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
• Proficient with or the ability to quickly learn human resource information system (HRIS); i.e. performance management module, applicant tracking module, time & attendance, custom reporting, etc. ADP WFN experience is desired.
• Flexible, individual desiring to participate in and learn about all aspects of HR.
