Workplace: Hybrid, Arlington, VA

Position Status: Full Time, Exempt

Travel: Travel may be required, approximately 5% of the time

Availability: Immediate

Compensation: Compensation will be based on experience.

EarthOptics is seeking a full-time Senior Executive Administrator to join its growing team. The ideal candidate will have experience in Executive Administration and Office Management. This role will report directly to the COO.

Duties and Requirements:

  • Manage scheduling and travel arrangements for the CEO including expense report creations and submittal, calendar updates and communication with other members of the executive team
  • Monitor CEO inbox for any time sensitive action items, or distribute actions to other Executive Team members as needed
  • Support COO in initiating and managing new tools and platforms to support increased company communication, cultural development and efficient processes
  • Coordinate all board meeting communication including schedule, finalization of board materials, and for infrequent in person board meetings, all logistics planning
  • Maintain board and investor contact and distribution lists
  • Coordinate and orchestrate internal and external business events as needed including conference, catering, lodging, etc.
  • Assist in evaluating general office and facilities service vendors and support implementation of new products and services (travel vendors, planning tools, supply vendors)
  • Assist all team members in the circulation of documents for review and contracts for signature
  • Draft executive correspondence, reports and presentations for review
  • Coordinate with Executive Team and Functional Leads to ensure accuracy and completeness of Company's internal training tools and digital headquarters
  • Collaborate with People Operations to support new employee onboarding and communication as needed
  • Staff Executive Team meetings and note action items, target dates and help track and drive completion
  • Use sound judgment and discretion when handling highly confidential personal and professional information and proprietary materials
  • Assist in scheduling for additional Executive Team members when bandwidth allows

Required Skills and Experience:

  • 8+ years progessive administrative experience
  • 4+ years C level executive Support
  • Superior attention to detail and excellent organizational and time management skills
  • Ability to recognize, identify, and articulate problems and proactively suggest solutions to team mates
  • Demonstrates and projects professionalism with a high degree of diplomacy, tact and judgment
  • Ability to work independently with minimal supervision
  • Enjoys working collaboratively with others and building effective working relationships
  • Ability to work efficiently with standard office documentation products (e.g., Google Suites Docs, Sheets, Slides or MS Office Word, Excel, Powerpoint)
  • Demonstrated oral and written communications skills, particularly in external and customer communications

  • Experience in tech, Ag tech, or startup environments
  • Familiarity with Slack, Happeo or Concur Expense and Travel Management
  • High degree of proficiency and comfort with Board, C-level and investor individual communication
