Our collaborative model provides in-home and in-clinic ABA therapy to children with autism, and is now including in-clinic Speech and Occupational therapy to children with all diagnoses. Our primary age range is between 2 and 12 years old.
POSITION SUMMARY
The primary function of the Regional Operations Manager (ROM) is to oversee the day to day operations of their assigned branches. This position has a direct influence on ensuring effective utilization of staffing, maximizing authorized treatment hours, ensuring a safe and inviting therapeutic environment, liaising with caregivers, completing general operational reporting and assisting the Regional Clinical Director and the Clinical Services Managing Directors with developing and achieving branch goals and objectives and marketing their office, locally.
This is a remote role, with potential travel quarterly.

The Regional Operations Manager position at Early Autism Services requires the following responsibilities but is not limited to:
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Create recurring master schedules for staff and clients.
- Update master schedules promptly when planned and emergent schedule changes arise.
- Notify all affected parties (staff, families, center management) immediately when any scheduling changes occur; review CRM system to reflect changes and ensure proper billing. Auditing & signing cancelation timesheets.
- Assist with the assignment and management of administrative/non-billable tasks.
- Communicating authorization due dates to BCBAs, submitting authorizations in requisite portals, checking on authorization approvals, and communicating with the center leadership teams about any pends or requests for additional information
- Assist with payor audits.
- Tracking staff and client cancellations
- Track data and prepare management reports (reports include but are not limited to: EAS Ops tracker, PDCA, applicant tracking/hiring needs, budgets, etc.)
- Support increasing client growth by partnering with Outreach Specialists to increase community presence. Recommend local community events to participate in and attend events as assigned
- Assist the Regional Clinical Director with creating and maintaining the budget(s)
- Communicate hiring needs to the recruiting team to ensure a sufficient pipeline of qualified candidates to meet clinic needs
- Collaborate with training & human resource departments on hiring
- Assist with coordinating and scheduling training.
- Track annual performance reviews.
- Assist with monitoring and reporting missed conversions
- Manage office supplies budget and submit purchase orders
- Maintain client and employee privacy in accordance with EAS policy and HIPAA regulations
- Attend/lead required training and meetings
- Keep abreast of changing organizational needs as it relates to business systems, legal practices, HIPAA compliance, and technology.
- May require travel up to 4 times per year to aide in team building, training, and supporting the opening of new locations.
QUALIFICATIONS:

EDUCATION and/or EXPERIENCE
- Have a Bachelor's Degree or equivalent experience
- Possess strong medical office scheduling experience
- Possess two (2) or more years of customer service experience with 1 or more years experience in operations/business management
- Possess minimum of (1) full year of experience with EHR or CRM systems
- Possess a minimum of (1) full year of experience with managing a budget
- Can effectively lead, perform multiple high-priority tasks, and complete work efficiently and effectively to meet established deadlines.
KNOWLEDGE, SKILLS, and ABILITIES
- Strong written and verbal communication skills to work with a diverse team.
- Basic computer skills and being able to use all required software.
- Ability to problem-solve and assist in decision-making independently, including during emergencies
- Work productively to develop relationships with individuals, families, and natural supports. 5. Proven creative abilities, strong organizational and time management skills.
- Excellent oral, written, and interpersonal skills and good customer service skills.
- Maintains professionalism in all dealings with staff and families
- Maintains a culture of ethics and compliance
- Have a valid Driver's license, car insurance, reliable transportation, and a good driving record
