We are looking for an ADMINISTRATIVE ASSISTANT for our Intl Airline client in Nashville, TN.
This is probably 60% with interacting with external customers, 40% data entry.
Provides administrative assistance to Ground Operations Station leadership in the following areas: Purchasing, vendor services, station currency & petty cash, badge and flight pass administration. Also, issuing out the Protective Equipment to the ramp people, they use a scanning system, and scan iPad’s and radio’s in and out of inventory.
We have open either an early shift or a late shift for our Airline Client in Nashville, TN Airport location. If the person is flexible and can work both shifts that is great, if not, you would need to tell us what shift you are interested in.
AM Shift – Starting as early as 3am give or take
PM Shift – Starting as early as 2pm give or take
-Working Weekends/Consecutive Weekdays off
-Schedule would most likely stay the same throughout the 12 mos. contract assignment.
Must have been an Admin in a recent job and a good customer service background.
Must be able to pass a criminal background check going back 10 years so that you can be badged to work at the Nashville Airport. This is an onsite role at the Airport. Must have excellent customer service skills, must get along well with others. Must have worked in a administrative Assistant role previously. This is a 12 mos. contract role with high probability of going much longer.
***SIDA Position at the Airport***
Provides POS to Ground Operations Station leadership through administrative support in the following areas: Purchasing, vendor services, station currency & petty cash, badge and flight pass administration, and other administrative functions as directed.
Verifies all monies from Station Sales, Cargo Revenue and Flight Attendance Liquor drops daily. Balance monies, prepare and complete daily bank deposits and forward reports to HDQ for processing.
Disseminated correspondence and information required through the computer and company mail.
Performs general office duties, such as: typing, answering phones, filing, and answering general questions.
Daily and weekly audit of all Station Accountable Documents. Ordering and distribution as needed.
Reconciliation, logging, review and preparation for approval of all Accounts Payable documentation received at the Station.
Order and distribute Station office supplies as needed.
Perform miscellaneous Station duties, such as coordination of: Station keys, parking tags/cards, and SWA and city Airport badges for Station Employees.
Distribution of various material received in the Station from HDQ such as: Employee Incentive Passes, pay checks, New Hire packets, etc.
Prepare and process pass requests to include: 4 part passes, PB-002 passes, and other airline passes.
Maintenance of Station Employee personnel files.
Perform other job duties as directed by the Station Manager.
Perform general tasks such as filing, distribution of miscellaneous documentation and answer phones.
Delivers Positively Outrageous Customer Service and displays the Southwest Spirit while performing job duties.
High School diploma required.
Previous Station experience desirable.
General office skills required.
Must have P/C skills and a working knowledge of Microsoft Word, Excel and Access.
Must work under specific deadlines and time constraints and be able to work in a limited space with constant interruptions.
Must be able to work shift work as required.
Strong communication skills and the ability to work as part of a team are required.
Issuing out personal protective equipment, knee pads, safety pads, being safe on the ramp. Issuing out iPads and Radios, part of the necessary job functions.
Is there a particular background or years of experience? Someone that really has the drive. Not a lot of experience is okay, but having the drive to do what is right. It can be daunting.
The job shows having Quickbase, Outlook, Excel, any of that necessary? They will have to use MS Suite, no PowerPoints. Excel and Outlook are 2 major things. They can teach Quickbase. It is pretty easy, just a database. Not hard to navigate.
Data entry? There is quite a bit, issuing out the products, we use a scanning system, so an iPad or radio, we scan it in and out. We have to do a couple different audits, flight paperwork, about 25 audits, about 30 minutes a piece to do that. Any time we de-ice a plane, we have to do an audit as well. Looking to add more auditing into this role. This is probably 60% with interacting with external customers, 40% data entry.
SIDA badge? Yes, you would need to be badge in order to work at the Airport and work behind the secured area. This means the background check goes back 10 years, and if there is anything in your background that is criminal in nature, you would not qualify to get a badge.
Can you touch a little on the training schedule and what that would look like? The training schedule is going to vary, need them to cover all aspects of the office. We do schedules every 1 to 2 months, we put it out to the admins and contractors of where they would like to bid, put it out for a week, then let them know what their schedule is based on their bids. We have a FTE bid and a contractor bid; there are a couple areas where I have to have a FTE on. We typically go based on seniority, but there can be some variety. I have all different kinds of shift.
