Job Description

Dykema Gossett PLLC, a leading national law firm, is recruiting for support staff to provide assistance to our Administrative Assistants in our Houston office.  

The Administrative Support Assistant role provides quality legal services to clients with preparing, organizing and filing of documents.  Assists with entry of time, expense reports and work on special projects.  Also assists Document Clerks with overflow filing needs, and Receptionist with back-up coverage.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Provides day-to-day support to Administrative Assistants with preparing, organizing and the filing of documents.
  2. Creates, types, modifies and saves correspondence, memoranda, notes, outlines, legal documents, abstracts, charts, forms, etc., whether from drafts, originals or dictation.
  3. Copies and scans documents; and creates, updates binders.
  4. Enters new clients and matters by preparing and submitting conflict check forms, screening forms and new matter request forms through New Business Intake system.
  5. Enters Attorneys’ time from logs, diary notes, correspondence, knowledge of Attorneys’ activities, etc. for review utilizing DTE software.  Maintains list of all current billing numbers.
  6. Enters Attorneys’ expense reports using Concur software.
  7. Makes travel arrangements.
  8. Provides back-up e-filing support, following court e-filing procedures and utilizing court site portals and File & Server.
  9. Provides back-up Receptionist coverage.
  10. Assists Document Clerks with overflow filing needs, including organizing client, Attorney or section files.  
  11. Performs other administrative duties as assigned by Office Administrator. 

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  1. Two years of post high school education.
  2. Two years of related work experience, in a legal environment, preferred.
  3. Excellent verbal and written communication skills, including proofreading, spelling, grammar and punctuation. 
  4. Knowledge of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint).
  5. Possess high level of organizational skills.
  6. Ability to multi-task and meet deadlines.
  7. Self-motivated with ability to work with Administrative Assistants and with minimal supervision.
  8. Type +55 wpm preferred.
  9. Exercises independent judgment in determining priority levels of all work assigned and assures high priority items are completed in a timely manner.
  10. High degree of confidentiality regarding clients, guests, and conversations.
