Job Description

Dykema Gossett PLLC, a leading national law firm, is recruiting for a CLE / Compliance Coordinator. The CLE Compliance Coordinator supports the Professional Development team and assists with the administration of the firm’s Continuing Legal Education (CLE) program for all offices. The position will work closely with the Attorney Development and Compliance Administrator to administer CLE credits for internal and external events. This role also works with the Legal Recruiting and Professional Development team on project based assignments and other firm projects. This role may reside in any of our California, Illinois, or Texas offices.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Partner with Attorney Development and Compliance Administrator to assess and fulfill needs for CLE events;
  • Manage data entry and maintenance of viGlobal CLE database for CLE programming and attorney bar renewal compliance periods;
  • Assist Attorney Development and Compliance Administrator in maintaining accredited provider status in key states: CA, IL and TX;
  • Maintain program calendars, evaluations, attendee list, and presenter information;
  • Coordinate program logistics, including technical run throughs with presenters pre-program for professional development programming firmwide;
  • Track program invites via CLE inbox and viGlobal Learning Management System (LMS), including distributing invitations and reminders;
  • Work with reception and IT teams in all offices on programming logistics; prepare and collect sign in sheets and attendance records post programs, add program materials to viGlobal LMS database, validate attendance in the database and assist PD and Compliance Manager with finalizing accreditation packages in preparation for reporting and issuing certificates of attendance to internal and external attendees as appropriate;
  • Review and analyze program evaluations after each program, summarizing results for distribution to program presenters;
  • Upload program recordings and maintain and update the e-learning library, with select programs for on-line, on-demand viewing; maintain e-learning paths in LMS;
  • Maintain and manage CLE mailbox;
  • Identify Practicing Law Institute (PLI) programs available for CLE;
  • Maintain and manage user credentials to the PLI subscription, creating and removing user access as needed;
  • Maintain and update department intranet page;
  • Assist with drafting a monthly digest of upcoming programs for all attorneys;
  • Assist with logistics for attorney orientation, integration, new associate training, and all legal educational firm retreats for lawyers and paralegals;
  • Other duties as may be assigned.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  • Minimum two (2) years of directly related continuing legal education experience in a law firm environment during which knowledge, skills, and abilities relevant to this position were demonstrated.
  • Working knowledge of CLE procedures and requirements in California, Texas, and Illinois, or the ability to become quickly adept at compliance with these state’s CLE procedures.
  • Bachelor’s Degree in a relevant field or an equivalent combination of education, training, and experience. Legal education/background preferred.
  • Intermediate knowledge of MS Suite to produce quality written communications.
  • Knowledge of ViGlobal or other CLE tracking system preferred.
  • Demonstrated ability to communicate clearly and effectively, both orally and in writing, including editing work for spelling and grammar, with high attention to detail.
  • Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
  • Ability to provide quality client service to both internal and external contacts, regarding both routine and complex matters. Requires tact, the ability to maintain confidentiality, and patience.
  • Demonstrated ability to work effectively with others in a cooperative manner and team environment to accomplish work and participate in team efforts to complete projects and resolve problems.
  • Demonstrated ability to represent the Firm with professionalism and honesty, consistently acting in an ethical manner.
