Role Description

We are seeking a highly motivated Workplace Services Coordinator to join our team. As a Workplace Coordinator at Dropbox you will report directly to the San Francisco Office Manager and have the opportunity to help support a dynamic and collaborative environment where Dropboxers will be excited to come to work every single day. 

Responsibilities
  • Coordinate our front desk experience with contractors to create a hospitable environment for employees and guests at HQ
  • Hire, train and manage front desk contractors based on values and mission of REWS 
  • Coordinate office programs that include but are not limited to plants, mothers rooms, fitness programming and swag to support employees at HQ
  • Maintain and build vendor relationships with QBRs to ensure that Dropbox is receiving proper service levels with office programs
  • Order and inventory swag at the front desk 
  • Act as point of contact for WPS for employee resource groups and build partnerships with groups internally
  • Maintain and respond to employees on various communication threads (Slack) with customer service and timeliness 
  • Document policies of the office to be shared with employees by collaborating with other members of REWS
  • Lead plant vendor relationship and ensure plants are maintained, disposed, added or moved when needed
  • Communicate and collaborate with members of REWS to bring goals and mission to the workplace
  • Provide data on office programs to help drive decisions
  • Help schedule and maintain Front Desk Calendar
Requirements
  • 5+ years of operations and event experience, preferably in a dynamic tech company, hotel, restaurant, or hyper-growth organization
  • Strong execution skills - proven ability to handle multiple projects and priorities within agreed upon timelines and budgets by managing vendors to execute
  • Proactive nature with the ability to pursue unforeseen challenges
  • Available to work events (day, evening, weekend) as business demands
  • Strong attention to detail, organizational planning, time management, and multi-tasking abilities
  • Thoughtful communication skills and the ability to work effectively with a spectrum of personalities
  • Ability to maintain composure and sense of humor in high-pressure situations
  • Passion for Dropbox and helping it scale
  • Ability to move up to 50-lbs
  • Ability to prioritize and multitask
Preferred qualifications
  • Experience working within a technical facilities management environment
  • Proven vendor management and leadership skills
  • Ability to move quickly and make on-the-spot decisions without sacrificing attention to detail
  • Track record of consistently going above and beyond what’s expected
  • BA/BS degree or equivalent practical experience
