Doherty Staffing has partnered with an award-winning roofing company in their search for an Administrative Assistant to join their team in Waite Park. In this role, you’ll be responsible for job coordination including accounts payable, invoicing and billing, document coordination, subcontractor agreements, change orders, etc. This is a full-time, permanent position with a growing company. Administrative Assistant Responsibilities:
o Compile and organize all documents necessary for job folders for estimators and management.
o Track all necessary documentation including but not limited to: original contracts, change orders, subcontractor agreements, invoices, lien waivers, and billing.
o Meet with estimators to determine the percentage of billing each month on a timely basis.
o Follow up with contractors and other companies for prompt payment of amounts due to the company.
o Maintain Accounts Payable weekly by: compiling and sorting invoices and checks, substantiating business transactions, entering transactions into the system, disbursing invoices to management for approval, selecting invoices for payment, and generating checks.
o Audit invoices against purchase orders and research discrepancies.
o Responsible for Service Department Accounting and serving as backup Service Dispatcher when necessary
o Answer incoming calls and monitor the accounting email address
o Maintain vehicle records, including titles, tabs, and insurance.
o Collect and match credit card receipts to statements for proper documentation monthly.
o Monitor, organize, and order office supplies as needed.
Administrative Assistant Essential Qualifications:
o Associate or Bachelor degree preferred but will consider equivalent experience
o Previous accounting experience is required
o Proficient user of Microsoft Excel
o Strong organizational and time management skills
o Attention to detail with the ability to juggle multiple tasks and meet deadlines
o Exceptional communication and customer service skills
o Experience with Sage accounting software is helpful
