We are seeking an experienced Travel Coordinator who will be responsible for offering excellent customer service, assisting our employees in arranging all aspects of business travel, facilitate professional, accurate, cost-effective travel arrangements, keeping all department functions and processes in line with standard accounting practices and internal controls. This position will work closely with other departments such as Accounting, Payroll, and Finance.

Essentials Duties and Responsibilities:

  • Coordinate domestic and international travel for big groups
  • Manage Concur Travel System and Travelers profile
  • Maintain accurate data in Concur Travel System
  • Manage and submit monthly expense reports
  • General resource and point of contact for travel-related issues
  • Develop and manage trip budgets and well-designed itineraries to meet customers, company budget and expectations
  • Responsible for monitoring hotel credit card authorization and reconciliation
  • Perform daily & month-end reconciliations in Concur and Accounting system
  • Maintain excellent relations with travelers and outside vendors with prompt response time
  • Reconcile travel expenses
  • Manage credit card operations
  • Ensure compliance with travel policies and procedures
  • Drive continuous improvement and innovation of travel procedures
  • Ensure safe and organized employee travel
  • Work in fast paced, short deadline situations
  • Demonstrates excellent telephone and service etiquette
  • Provide after hours and weekend support as needed
  • Collaborate with other administrative staff and work in a team environment
  • Assisting with onsite and external events as needed
  • Negotiate rates for large teams
  • Establish corporate accounts with Purchasing Department
  • Resource and obtain corporate long term housing for longer term project assignments
  • Track Per Diem requests for non-exempt positions
  • Other duties as required to support department

Experience and Qualifications

  • 3+ years of corporate travel industry experience
  • 2+ Experience using Concur Travel and Expense system
  • Experience with domestic and international travel reservations
  • Excellent written and verbal communication skills
  • Ability to handle sensitive matters and exercise sound judgment, discretion, and confidentiality
  • Ability to be available on evenings and weekends for travel emergencies
  • Must be detail-oriented, highly organized, and able to work independently with minimal direction/supervision
  • Patience and flexibility
  • Proficiency in Microsoft Office products (Outlook, Word, Excel, PowerPoint)
  • Regular and dependable attendance and punctuality is required
  • Proven success prioritizing work and maintaining composure in a fast-paced environment
