Job Description

 

Essential Job Functions:

Must be able to perform the essential functions of the job with or without reasonable accommodations.

  • Interact with visitors, suppliers, consultants and employees with a professional attitude to reflect a high level of tact, courtesy, cooperation, and responsiveness.

  • Practice a high level of confidentiality at all times; confidential matters shall not be shared or distributed to others except on an approved need-to-know basis.

  • Safeguard against conflict of interest by ensuring that information obtained in this position is not used to influence or bias Rose Hills’ decision-making regarding employee issues or outside vendor agreements.

  • Demonstrate a high-level of written and verbal communication skills by using proper grammar, correct spelling, and punctuation; by carefully proofreading and editing; by creating a variety of documents according to the Company format.

  • Prepare invoices or check requests for approval and payment. Maintain all expense spreadsheet for post event analysis by management.

  • Provide back up support for Marketing Department, Asian Operation Department and other administrative as needed.

  • At an Intermediate level, use Excel to create a variety of spreadsheets and documents.

  • Prepare reports, awards, certificates, flyers, and other documents as needed.

  • Demonstrate a high-level ability to prepare creative for both traditional and digital media.

  • Provide support in utilizing social media for event, promotion and Company exposure.

  • Receive and send information by using strong knowledge of E-mail and the Internet for business communications.

  • Demonstrate high-level ability to create a variety of documents using skill with word processing, spreadsheets, and presentation graphics.

  • Demonstrate a high-level of records management ability by filing, retrieving, and destroying files in accordance with a systematic file management system and Company policy.

  • Ensure that office equipment is maintained, repaired, and replaced according to schedule by coordinating with the Purchasing Department.

  • Maintain department office supplies, files, and provide general office support.

  • Operate the copy machine, PC, multi-line phone console, and order necessary supplies,

  • Demonstrate common sense, judgment, and sense of urgency; and ability to set priorities.

  • Adhere to Company policies, procedures, rules, and controls.

  • Adhere to safety rules and regulations, and report unsafe practices to management.

  • Act on customer complaints timely to provide satisfactory resolution.

  • Participate in training and skill development opportunities to improve competency and customer service.

  • Other duties as assigned by management.

Experience and Education:

  • Minimum of five years experience as an Office Manager or Executive Assistant

  • A.A. degree, or equivalent (preferred)

  • Prior experience working in marketing or communications a plus

Special Skills

  • Strong customer service and problem resolution skills

  • Strong office management skills

  • Self-motivated, disciplined and highly organized

  • Proficiency in Adobe design software and/or HTML

  • Strong Intermediate to Advanced skills in MSOffice software, PowerPoint, and Outlook

  • Keyboard accurately at 65 wpm

  • Strong English grammar and proofreading/editing skills

  • Math skills with ability to calculate ratios and percentages

  • Communicate clearly and accurately with all levels of the Company

  • High level of compassion and integrity

  • Problem solving and detail-minded

  • Ability to read maps and follow directions

  • Safely drive Company vehicles

  • Bilingual (Chinese) Preferred
