Responsibilities

The Administrative Support position will provide office oriented, clerical, and coordination support, performing typical functions, including telephone answering, desk staffing, copying, data entry, regular cyclical report generation and distribution, and pre-defined task execution. This position will support an executive team at the Federal Aviation Administration (FAA), which consists of a director and several deputy directors. The ideal candidate should be comfortable in a fast-paced environment and able to interact with senior executives on a daily basis.

Duties will include the following:
+ Processing all branch travel arrangements; including:
+ U.S. and international travel reservations
+ Requests and vouchers using the E2 Travel system
+ Authorizations for Visas and eCountry clearance
+ Processing civil service employee LDR; leave request and time and attendance in CASTLE system
+ Processing Branch and Division incoming and outgoing correspondence using the CCMS System, Correspondence Control System, and specific Division processes
+ Processing Division and Branch mail to and from the FAA Headquarters building from remote locations
+ Answering phones and providing organizational support regarding outside visitors meeting with Branch/Division managers
+ Maintaining calendars, schedules, agendas, minutes, and overall interoffice correspondence for Branch/Division managers
+ Working independently or as part of a team on special and ongoing projects
+ Scheduling telecoms/video-cons and coordinating bridge lines
+ Providing office automation support
+ Designing spreadsheets, maintaining databases, and creating the weekly manager's Correspondence Tracking Report and reviewing for quality assurance
+ Supporting Branch/Division working groups (WG) and action teams by assisting with coordination of critical communications, including:
+ Monitoring and maintaining work plans
+ Assisting with development of Standard Operating Procedures (SOPs)
+ Assisting with development of Branch presentations
+ Maintaining computer-based and paper files

Required Skills, Education, Certifications and Experience

+ HS Diploma + 6 years of relevant experience; or
+ Bachelor's Degree + 4 years of relevant experience.

+ Proficiency and practical knowledge of Microsoft PowerPoint, Excel, Word, and Visio, as well as Adobe applications, to create reports, presentations, and senior level briefings
+ Experience with formal correspondence tracking documents for executives
+ Experience with E2 and CASTLE software or government travel and time-keeping
+ Experience interacting with senior level executives
+ "Can-do" attitude with high level of initiative and aptitude for problem-solving/critical-thinking
Preferred:
+ Bachelor's degree
+ Previous FAA experience

Physical requirements for this position

This position will be located in a normal office environment and may require for sitting for extended periods and lifting up to 40lbs.
