Job Description

GENERAL JOB SUMMARY

The Legal Office Support Clerk performs a variety of clerical assignments in support of business operations of the Legal Team and uses judgment in making decisions where alternatives are determined by established policies and procedures.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

·         Performs basic clerical tasks, such as data entry, data reporting, and organizing letters, files, and other indexed documents according            to an established system

·         Complete data entry tasks as assigned

·         Ensure files are complete

·         Prepare and send outgoing mailings, and sort and distribute incoming mail

·         Answer incoming calls, and process incoming emails, and voice messages

·         Make phone calls and type and send emails as required

·         Respond to requests for information; gathers appropriate forms and documents

·         Photocopy, scan and fax documents

·         Operate office equipment and complete general office work

·         Ensure documents and data entry are accurate and complete

·         Explain work instructions to others, adapting guidelines to the assignment as necessary

·         Provide assistance and training to others in the department where needed

·         Establish and revise work methods, and standards to improve efficiency

·         Perform additional duties as directed by department leader

 

QUALIFICATIONS (Knowledge, Skills, Abilities)

·         High school diploma or GED equivalent

·         At least two (2) years of administrative support experience

·         Knowledge of standard office principles and procedures

·         Knowledge of principles of telephone etiquette

·         Skill in using general office equipment such as telephones, copiers, etc.

·         Good listening skills

·         Effective communication skills, both verbal and in written

·         Highly organized and follow instructions well with attention to detail

·         Must be a mission-driven individual with high personal integrity and a strong sense of public service to the residents of the City of                    Detroit

·         Basic proficiency in word processing, spreadsheet and database programs

·         Salesforce and OneDrive experience preferred

·         Ability to work well alone or as a member of a team in a fast paced and demanding environment

·         Detroit residency, preferred

·         Ability to select and compile data for correspondence and reports

·         Ability to maintain supplies for work area

·         Ability to explain instructions and guidelines and train others effectively

·         Ability to organize and coordinate the work of the department

·         Ability to determine work priorities and assign and review work for quality

·         Ability to establish and revise operational standards

·         Ability to assist others in solving work problems

EDUCATION

  • High school diploma or GED equivalent

EXPERIENCE

·         At least two (2) years of administrative support experience

While performing the duties of this job, the employee is frequently required to stand, sit and/or walk.  The employee is required to use hands to input, view and retrieve data from computers.  The employee is required to move and file paperwork, at times large quantities of it.
