Job Description

Job Summary: This position is responsible for directing clinic activities, staff management, provider and patient relations, and billing and collections operations for Desert Institute for Spine Disorders (DISD). This position is also responsible for maintaining credentialing and facilitate transfer of patients to the United States for Surgery on behalf of Bermuda Spine Center (BSC).

Duties Performed on behalf of DISD:

  • Oversee personnel issues, billing and collection, financial stability, patient flow, and contracting issues
  • Assists the provider in planning and business development to increase business
  • Effective and fare leadership for all employees
  • Establish and implement office policies, and procedures
  • Evaluates the personnel for wage increases, job responsibilities, training, the hiring process and disciplinary actions
  • Organizes, schedules, and directs training requirements for all employees and providers
  • Plan/oversee practice activities including weekly staff meetings
  • Maintains knowledge of all areas of the practice and how each functions and supports the practice
  • Ensures all patient concerns are handled correctly by recommending and implementing corrective actions
  • Monitor and ensure that all employees possess a high quality appearance and practice knowledge
  • Provides leadership and motivation to practice staff
  • Responsible for all of the practice and provider(s) licensing, legal requirements and insurance contracts
  • Develops and maintains employee manuals, job descriptions and the policy and procedure manuals for the front office, back office, and providers
  • Serves as liaison between the practice and outside doctors’ offices/hospitals
  • Ensures that HIPAA Privacy regulations and OSHA regulations are maintained and followed by every staff member
  • Maintains contracts of products and equipment within the office
  • Oversees and monitors front office responsibilities/duties and back office responsibilities/duties
  • Timely payment of all accounts payable
  • Responsible for implementing and/or overseeing the production and maintaining of office and patient forms
  • Creates and maintains medical tourism cash pricing programs for all surgeries performed on behalf of DISD patients outside of the United States
  • Markets the practice to increase business and optimize revenue
  • Oversees all events centered around the marketing for DISD, creating and implementing a marketing plan, in person visits with doctors’ office and assigning other personnel including providers to participate with office visits
  • Maintains all credentialing with local, national, and international 3rd party payers, and all hospitals where providers will be working.
  • Responsible for review, edit, and negotiations of all 3rd party payer domestic and international contracts to ensure none are expired, monitor for reduction in payment, and ensures payment compliance consistent with contracted rate
  • Monitors and scrubs the contracts for the location of the following insurance generated concepts and negotiate them out of the contracts if possible, or add as necessary concepts that improve patient care and facilitates accurate and timely reimbursement for the work provided:
    • Authorization is no guarantee of payment
    • The right of the insurance company to recoup from another patients payment/account
    • Avoid 3rd party pricing for Workers Compensation insurance programs
    • Peer review must be a licensed Orthopedic spine surgeon who has previously reviewed my reports prior to denial of the claim
  • All other duties necessary for maintaining or improving patient care

Duties Performed on behalf of BSC:

  • Most of the duties performed on behalf of DISD will be performed on behalf of BSC, plus:
    • Facilitates the transfer of patients from BSC to DISD for surgical intervention
    • Liaison with international insurance companies by suggesting or organizing cost effective travel and housing in Arizona for patients from BSC and their families
    • Maintains all credentialing with international 3rd party payers, and all international hospitals
    • All other duties necessary for maintaining or improving patient care

This position is also required to participate in vacation and illness coverage when the other practice staff is unavailable.

Desired Skills and Experience:

  • 5+ years of healthcare billing experience in a fast-paced, customer focused environment
  • Orthopedic surgery practice experience, a plus
  • Strong written and verbal communication skills & a team player
  • Willingness to be flexible, roll with the punches, multi-task and troubleshoot problems
  • Detail oriented with strong organizational skills
  • Exemplifies amazing customer service skills and professionalism
  • Experience in CPT and ICD-10 coding; familiarity with medical terminology
  • Ability to manage relationships with various insurance payers
  • Experience in filing claim appeals with insurance companies to ensure maximum entitled reimbursement.
  • Certificate from an accredited medical and billing school.

Education and Experience:

  • H.S. Diploma or equivalent (GED)
  • Strong computer skills are required, including proficiency in MS Office, MS Excel, etc
  • Proven ability to analyze patient invoices
  • General understanding of basic accounting principles
  • 2-3 years medical terminology, 2-3 years medical coding, billing and/or claims.
  • Excellent telephone communication skills.
  • Familiarity with accounting and billing principles required
  • Excellent problem-solving skills and diplomacy essential
  • Detailed oriented, precise and thorough
  • Excellent organizational skills yet able to successfully multi-task
  • Team oriented, motivated and quality driven
  • Ability to travel by auto or plane.
  • Must maintain a current and unrestricted US Passport
