JOB SUMMARY:

The administrative coordinator a helps ensure all phone and in-person guests are helped efficiently and courteously. The admin coordinator also works closely with the Administrative Manager to ensure that the internal team has its administrative needs met.

JOB RESPONSIBILITIES INCLUDE, BUT NOT LIMITED TO:

  • Greet all guests and direct appropriately in a timely manner
  • Answer main phone line and direct callers and routing then appropriately
  • Maintain visitor security log; follows security procedures for visitors to building
  • Prepare office for employees beginning and end of day
  • Coordinating and/or distribute all incoming and outgoing Fedex, USPS, intercompany mail (weekly); distribute mail daily
  • Place weekly office supply and coffee orders
  • Maintain company branch and corporate phone extension lists
  • Plan company events and assist with special events
  • Expense reporting for management
  • Prepare ad hoc accounting projects as necessary, including check-run assistance
  • Run company errands if needed
  • Assist with Facilities – liaise with janitorial team, stock and maintain conference rooms and copiers, place service calls with vendors
  • Work on special projects as assigned– update copy room with correct information, recommend new filing systems, etc.
  • Update and maintain office policies and procedures
  • Other duties as needed

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Friendly, customer-service minded
  • Resourceful, takes initiative to make recommendations, take on projects, etc.
  • Able to work independently at times
  • Detailed-oriented
  • Ability to prioritize, exhibits sense of urgency when required
  • Able to work overtime when required (minimal)

EDUCATION AND EXPERIENCE:

  • A.A. preferred
  • At least two - three years office experience as receptionist or admin assistant required
  • Notary public designation a plus
