We are seeking a motivated Product and Project Information Administrator who is looking to be part of a small team and grow with our company . We are looking for a responsible, organized individual to join our team. This position performs a variety of tasks, including tracking and maintaining our sample program, filling out customer forms and New Item Forms, organizing new product development data, tracking and maintaining a well kept project information log, assisting our sales team and front office, preparing samples, as well as helping maintain client relations.
What does a Product and Project Information Administrator do at our business?
The Product and Project Information Administrator is a key role that helps maintain and track information for the management and sales team. This is achieved through task management, project tracking, and tracking sample creation. While helping the sales team, the Product and Project Information Administrator will also help with customer follow up, preparing and tracking samples, among other duties. The ideal candidate should have excellent oral and written communication skills and be able to organize their work through tools such as MS Excel, Word, task management software (we use Monday), and GSuite (Google Apps).
Provide administrative support for Sales and Management Team
Tracking of Samples to ensure the on-time creation and shipping of product.
Data entry and file maintenance (new item set-ups, PO tracking , organizing information for the sample program, etc).
Management for all sample and product information:
Photograph each sample iteration
Maintain up to date project data: Pricing, sample requests, project dates, ingredient panels, photos, project status, client shipping addresses, and further info when it comes available.
Share and organize this data within our project management system (Monday.com) as well as Product Knowledge Binder
Generate, maintain and manage reports of new sales projects within management software.
Reviewing emails for pertinent information to be added to project data.
Client relations (help maintain correspondence with our key clients and answer inquiries).
Email and Phone correspondence
Attend sales meetings and take detailed minutes of meetings and client calls.
Act as a point of contact for key clients and sales team regarding samples
Assist with e-commerce customer correspondence
High School Diploma
Some college (Bachelors Degree Preferred)
Proficient in MS Office suite, Email, GSuite (Google Apps)
Excel or Google Sheets, Word, GMail, Powerpoint or Google Slides, etc
The ability to self manage time and multiple tasks.
Attention to detail and problem solving skills
Requires strong communication skills, both verbal and written, organizational skills, and the ability to work with confidential documents.
