Position Summary

Administrative Assistant responsible for providing administrative support to a growing international sales organization.  Duties are (but not limited to) invoicing,  handling accounts receivable,  answering and screening phone calls, filing, ordering office supplies and other general support functions.   Must have pleasant phone manner, understand about maintaining excellent customer service and consistently developing customer loyalty.   Individual must be a self starter, extremely organized and someone who understands the concept of “time management”.  

Principal Responsibilities

   1.    Provide administrative support to the organization

   2.    Answering phones, screening phone calls and taking accurate messages.

   3.    Invoicing, handling credit cards payments and keeping A/R current.

   4.    Ordering office supplies and making sure office equipment is maintained.

   5.    Responsible for filing, maintaining and updating customer files.

   6.    Support customer management software - Goldmine

   7.    Provide potential customers with required marketing materials as requested.

   8.    Work closely with Inside Sales Admin person on mailings and special projects.

   9.    Assist in other sales related functions as determined by management and the rest of the organization, as required.

10.    Assist with logistics, as required.



Required: Associate Degree in Business or related discipline or equivalent


Required:  Mature individual with at least five years experience


Special Skills

Ø  Good computer skills and working familiarity with multiple software packages.

Ø  Understanding and experience with CRM packages Quick Books, Sage, QuoteWerks

Ø  Strong verbal and written communication skills, professional telephone etiquette, and the ability to handle stressful situations in an efficient, professional manner. 

Ø  Must have a sense of “team” response to satisfy sales goals and assure 100% customer satisfaction. 

Ø  Multiple language capability is desirable.
