Logistics Coordinator / Executive Support

The objective of the Office Coordinator is to support the Administration Department and Executive Team with various office management, technology, travel and human resource needs.  This role will be located in Vernon Hills, IL. 

Job Duties and Responsibilities include: 

  • Complete executive expense reports monthly and other personal assistant duties for Company Executives 

  • Support the Operations teams on purchasing supplies, researching vendors and maintaining a purchasing catalog 

  • Support Executives in scheduling and personal planning   

  • Manage the proper record keeping for the company’s office and computer equipment inventory 

  • Book travel for full and part-time staff at tradeshows, including airfare, hotels, and ground transportation; manage and update show budgets and itineraries 

  • Supports employees with any questions, requests, or other matters relating to travel bookings. 

  • Perform other duties as assigned 

Desired Qualifications: 

  • An Associate's degree  

  • Executive assistant / personal assistant experience (2+ years) 

  • Possesses strong computer skills with demonstrated proficiency in standard business software packages (e.g., Microsoft Office) 

  • Intermediate or higher knowledge of Excel. Must be able to utilize Excel to create reports and represent data efficiently to ease user understanding and utilization. 

  • Experience with completing expense reports 

  • SAP Concur Experience a plus 

  • Demonstrated integrity and confidentiality 

  • Strong interpersonal, analytical, and problem-solving skills 

  • Ability to communicate effectively, verbally, and in writing 

  • Strong attention to detail 

  • A can-do attitude, willingness to learn from others, and ability to work in a team-oriented environment  

  • Strong organizational skills, ability to prioritize tasks, and proactively meet tight deadlines
