Job Description

CFS has joined partners with a Lansing organization that is looking to hire on an Office Administrator. Our client currently manages over 50 school sites in Arizona, Indiana, Michigan, and Ohio and is one of the largest education service providers in the United States. The Office Administrator for the Department of Exceptional Student Services is responsible for the overarching tasks of assisting the DESS administrators with day-to-day clerical tasks such as typing, filing, answering telephones, and ordering supplies. In addition to daily clerical duties, an office administrator’s responsibilities also include a variety of responsibilities that contribute to the efficiency of the operations of the DESS. Some of these responsibilities include but are not limited to: billing, maintaining contracts, coordinating workshops, as well as keeping up with compliance and new updates of programs that are under the umbrella of the DESS.

Essential Job Duties/Functions:

  • Serves as the primary telephone contact/resource point person for special education services and forwards inquiries to the appropriate special education administrator
  • Maintains calendars of special education administrators, establishes and maintains cohesive and organized department databases and electronic forms
  • Establishes and maintains files concerned with staffing, budgeting, workshops, reports, attendance reports, and assists department administrators in meeting timelines and compliance requirements
  • Completes monthly Medicaid reporting for participating academies and maintains department purchasing and budgetary records
  • Monitors special education contracted ancillary staff billing hours and reconciles billing statements
  • Coordinates department-related workshops
  • Coordinates training, maintains, revises and updates the Special Education 1st Wednesday in October “count day” and related reporting systems and serves as a liaison to related Intermediate School District (ISD)/State staff to ensure compliance
  • Assists department administrators in developing and monitoring special education budgets
  • Assist department administrators in monitoring special education spending and completing special education cost reports, including 4096 final cost reports, IDEA Flow Through, grant reports, Medicaid reporting and other special education related grants
  • Positive Behavior Intervention System (PBIS) Coach Coordination of meetings for academies
  • Submits reimbursements and mileage for department administrators
  • Foster Care/Homeless Liaison Coordinator, which includes coordinating meetings and track of new and changing information and requirements
  • Monitors Individual Paraprofessional (IP) applications, deadlines and ISD coordination
  • Collects Student Status Reports, Logs, evaluation timeline calendars from SPED Service Providers
  • And other duties as assigned by the Department of Exceptional Student Services Director

Education and Qualifications:

  • Proven experience as an office administrator, administrative assistant, office assistant, or relevant role
  • BS/BA in office administration or relevant field is preferred
  • Three or more years of experience as an office administrator, office assistant, or administrative assistant
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office (Excel, Word, PowerPoint) and Google Suites
  • Qualifications in secretarial studies will be advantageous (ex. Typing, filing, and answering phones)
  • The ability to be self-motivated to assist the DESS with meeting state and federal compliance requirements
  • Experience overseeing/collaborating with school administrators, special education teachers/social workers, other service providers (contracted and non-contracted), and Intermediate school district staff
  • A high level of organization and the ability to perform multiple tasks
  • Excellent written and verbal communication skills
  • The ability to read, analyze, and interpret information in a variety of formats
