Job Description
Position Summary 
Reporting to the Manager, HR, the Human Resources Assistant is primarily responsible for conducting employment background screening for freelance employees in line with client requirements and ensuring they are run according to applicable law. This role also performs various administrative duties in support of the department, including backup support of booking travel for internal employees, and completing client requested audits related to HR. Strong communication and customer service skills are required for the role to provide excellent support to our field office employees, candidates, vendors and clients in writing and by telephone. Accuracy and attention to detail are key attributes in this role. 
 
Duties and Responsibilities
  • Conduct employment background screening for freelance employees in line with client requirements. Excellent customer service and timely email and telephone responses are key. This responsibility comprises approximately 70% of the role as follows: 
    • Administer pre-employment background screening and processes for Creative Circle field offices 
    • Provide support for the background check invoice reconciliation process 
    • Provide information for various monthly, quarterly and annual client audits 
    • Follow up to ensure that background-related activities comply with procedures and laws in all states where we do business and with client agreements 
    • Document/track specialized background vendors and requirements 
  • Serve as the back-up travel liaison for all company employees. Excellent customer service and timely email and telephone response are key. This responsibility comprises approximately 20% of the role as follows: 
    • Communicate with and arrange travel for applicants being considered for positions and new employees who travel for training upon hire 
    • Answer questions and assist with difficult or unique travel requests for internal employees 
    • Track and report on travel usage and billing 
    • Reconcile usage with invoices and company credit card 
    • Track and monitor all travelers. Be available to handle travel delays and issues that may arise 
  • Perform various administrative duties in support of the department. Responsibilities vary and comprise approximately 10% of the role as follows: 
    • Receive and distribute HR mail 
    • Ordering one off internal employee gifts 
    • Edit/update HR SharePoint site 
    • Track expenses and expense reporting 
    • Schedule/arrange occasional meetings and events 
    • Various tracking/reporting of one-time or regularly scheduled projects using Excel or Word 
    • Other assignments or projects as needed
Experience, Skills and Abilities
  • Minimum of 1+ years of experience in an HR administrative position 
  • Prior experience with backgrounds is strongly preferred 
  • Excellent communication skills in person and via phone and email 
  • The ability to use Microsoft Office Products (SharePoint, Word, Excel, PowerPoint, Outlook) at an intermediate level 
  • A passion for customer service and strong skills/abilities in handling customer requests and issues with urgency and accuracy 
  • A demonstrated history of strong productivity, follow-through, and quality work 
  • The ability to work independently as well as part of a team
