1. Delight your LO, Team, Clients and Strategic Partners - Highly skilled and able to answer incoming calls with WOW, manage multiple calendars, email and text accounts and multi-task to help keep your Loan Officer on schedule and unencumbered

2. Provide Administrative Support – Highly effective ability to manage organizational systems, assist with filling the Loan Officer’s schedule, act as gatekeeper and provide administrative and marketing support

3. Assist in the Lead and Pre-Approval Process - Exceptional ability to assist new and returning clients. Build and maintain excellent relationships, get new leads started into the loan process quickly, communicate effectively and assist your Loan Officer and production team as needed to exceed Lead and Process conversion standards

The Position

1. Provide Administrative Support for your Loan Officer (LO)

  • Maintain LO’s calendar, schedule and act as gate keeper of the LO’s time to ensure they can focus on being the team’s rain maker
  • Maintain LO’s email accounts to ensure they are only interacting with items that need their attention
  • Act as point for team email and text account
  • Assist with maintaining LO’s daily organizational system, written correspondence, task management, meeting prep and follow up with both clients and strategic partners
  • Act as an extension of your LO in all circumstances
  • Implement processes and procedures
  • Assist LO with new lead client and agent follow up
  • Use Salesforce and other internal systems for efficient team communication, data accuracy and completion of tasks
  • Communicate effectively and with enthusiasm, and respond quickly,

2. Assist LO with New Lead and Pre-Approval Process

  • Receive new leads via phone, email or text
  • Complete initial new lead steps and preparation to pass on to the LO and production team within process time standards
  • Participate in ensuring loan process standards are being met and surpassed
  • Facilitate client follow-up systems and processes

Participate in Sales and Marketing Support

  • Assist with new partner development, relationship building and management
  • Facilitate partner campaigns and sales and relationship growth programs
  • Assist with marketing campaigns and engagement
  • Facilitate events, meetings and act as ambassador of 1st impressions
  • Be a “hospitalian,” ensuring that the office and meeting locations reflect the warmth of welcome as well as professionalism
  • Prepare partner meeting agendas
  • Confirm meetings with attendees, provide all needed resources to the LO and those attending and ensure that the LO is fully prepared
  • Complete meeting and event follow up quickly and efficiently

3. Office Coordination

  • Maintain overall office coordination including: Phone coverage, building maintenance requests, greeting guests, voicemail, update team PTO calendar, assist with team building activities, order groceries and office supplies, maintain office and kitchen organization and cleanliness, mail, etc.

Requirements

  • 2+ years in an administrative support role. Experience in mortgage or financial services industry a plus
  • Driven and eager to grow and learn more about the mortgage industry and your position
  • Take initiative - Use resourcefulness and creative thinking to find solutions and ways to say YES
  • Naturally driven to WOW clients, your fellow team members and your direct supervisor
  • Competent in use of Microsoft Office Word, PowerPoint, Excel, and Outlook, Dropbox
  • Experience with Salesforce CRM system a plus
  • Technology savvy with the ability to pick up new software and systems easily
  • Excited to serve others, maintain an outstanding attitude daily and dream big!
  • Highly energetic, organized and detailed
  • Have a sales and hospitality personality
  • Great with people and possess excellent communication skills
  • Be a continual learner to grow your skills and knowledge and serve clients and partner’s at increasingly higher levels
