Job Title: Prevention Assistant, I/II/III, RS

Department: Recovery Services

Reports To: Prevention Manager

Supervises: None

FLSA Status: Non-Exempt

Pay Grade: N2 (I), N3 (II), N4 (III)

Job Type: Full-Time, Regular


General Functions:

The Prevention Assistant is responsible for supporting the Prevention Coordinator in planning prevention program activities such as meetings, travel, and conferences.

Duties and Responsibilities:

Prevention Assistant, I:

  • Coordinate and organize activities such as meetings, travel, conferences and all prevention program activities, as directed by the Prevention Coordinator.
  • Administer and conduct Federal data collection tools (GPRAs) and submit to the Data Evaluation Team.
  • Support prevention staff in administrative tasks and maintain organization and cleanliness of prevention spaces.
  • Provide support to the prevention coordinators in the classroom or group.
  • Provide support of tabling events.
  • Assist in teaching cultural activities.
  • Perform all other related administrative duties as assigned.

Prevention Assistant, II:

  • Consistently perform all duties/responsibilities of Prevention Assistant I with a higher level of proficiency.
  • Assist department staff with day-to-day operations, clerical duties, and special projects.
  • Complete all duties related to obtaining waivers and media waivers for youth prior to monthly events.
  • Assist with coordination of travel arrangements.
  • Attend meetings as it pertains to job responsibilities.
  • Be a community safe person for suicide prevention training.

Prevention Assistant, III:

  • Consistently perform all duties/responsibilities of Prevention Assistant I and II with a higher level of proficiency.
  • Support the Prevention Coordinator, Prevention Manager, and Human Resources in recruitment efforts of new Prevention Assistants, to include screening, interviewing, and selection.
  • Provide initial and ongoing training for Prevention Assistants; to include but not limited to, entry and how to administer follow-up and satisfaction survey.
  • Co-lead training program for newly hired Prevention Assistants.
  • Oversee that the follow-up rate is maintained per grant goals and in accordance to grant regulations.
  • Act as a Super User for Eventbrite, Bitly, Microsoft Teams, etc.
  • Liaise and attend all coalition meetings.
  • Cross check that scanned, labeled and uploaded documents are completed correctly and timely.
  • Support the Prevention Manager in the absence of the Prevention Coordinator.
  • Co-teach and co-facilitate with prevention coordinators.

Job Specifications:

  • Excellent public contact and telephone etiquette and professional presence.
  • Ability to work closely with personnel from other departments within Cook Inlet Tribal Council.
  • Ability to work independently and with minimal supervision while maintaining attention to detail.
  • Ability to work well in a multi-task environment.
  • Demonstrated good organizational skills.
  • Ability to be flexible and understanding of changing priorities.
  • Experience with PCs and standard office equipment.
  • Demonstrated ability to prioritize work and work-related responsibilities.
  • Excellent verbal and written communication skills; knowledge of proper grammar, good vocabulary, spelling and proofreading skills.
  • Familiar with Word, Outlook and other Microsoft Office business software.
  • Ability to prioritize workload and adapt to changing priorities.
  • Maintain high degree of sensitivity regarding confidential information.
  • General knowledge and understanding of the social, health, educational, training, and cultural needs of the Alaska Native and American Indian community.

Minimum Qualifications:

Prevention Assistant, I

  • High School Diploma or GED.

Prevention Assistant, II

  • High School Diploma or GED.
  • One (1) year experience working in an administrative support role.

Prevention Assistant, III

  • High School Diploma or GED.
  • Two (2) years of experience working in an administrative or prevention assistant role.
  • Understanding of Alaska Native Culture.

Preferred Qualifications:

  • Continued employment is contingent upon completion of a satisfactory state and federal fingerprint criminal background check.
  • Valid Alaska driver’s license and be insurable under CITC’s automotive insurance, which requires a driver to be at least 21 years of age and have had a driver’s license for at least three years.
  • Ability to teach Alaska Native Cultural activities.
