Our Project Administrative Assistant…

As our Project Administrative Assistant, you will support our Project Manager team to complete daily tasks as required for each project.  

The ideal Project Administrative Assistant will have the ability to manage multiple projects while having a high sense of urgency and accountability with the following skills, knowledge, and abilities:

  • Apply for and track all project permits
  • Schedule project inspections, communicating results to proper stakeholders
  • Order and receive project drawings, including both electronic and hard copies, ensuring correct drawings are always being utilized
  • Purchase Order (PO) creation for all material orders
  • Invoice approval based on corresponding POs
  • Main point of contact with vendors for material tracking and updates
  • Arrange for all rented equipment for each project
  • Create subcontracts with vendors as needed for all projects
  • Process Requests For Information (RFIs) with customers for each project
  • Compile all project Change Order (CO) documentation
  • Prepare monthly billing for both AIA and non-AIA projects
  • Complete submittal process with customers and vendors
  • Track and execute closeout process with customers
  • Assemble all required documentation for project Kickoff, Milestone and Closeout meetings
  • Assure all project documentation is up to date and complete within our ERP software
  • Any other requirements as deemed necessary by the Director of Projects 

Required

  • High School Diploma or equivalent
  • Excellent communication, listening and interpersonal skills
  • Experience with word processing, email and spreadsheet programs
  • Able to manage multiple priorities simultaneously 

Preferred

  • Experience with Microsoft Office
  • Previous experience in the Construction Industry
  • Experience with an ERP system

Desired

  • Experience with ComputerEase, ProCore, PlanGrid or similar software
