Job Description

Contemporaries is a staffing firm working closely with the National Institutes of Health. We are currently looking for an Admin III to work on a long-term contract. Fitting candidates should have prior NIH experience, prior experience working with NIH travel systems, must have experience working with POTS, a college degree, the ability to work independently, able to learn new systems quickly, have excellent communication skills both written and oral, and have fantastic Analytical skills. This position will offer benefits. Interviews will be scheduled immediately, as we are looking fill this position as soon as possible. 

Description:

  • Provide administrative support to senior-level staff
  • Create and analyze written documents for dissemination to leadership
  • Compile information for outside inquiries and reports, and develop and maintain tracking tools to be used for reporting data
  • Attend and participate in staff meetings upon request
  • Provide logistical support and coordination for scientific conferences, workshops, site visits, and other advisory group meetings
  • Provide logistical support and schedules conference rooms. Print and post the meeting calendar, restore furniture arrangement in the room after the meeting, coordinate audiovisual needs
  • Enter requests for telecommunications, purchase requests (POTS), training nominations, locksmith and maintenance requests
  • Process travel using NIH Travel systems
  • Coordinate and arrange travel plans
  • Greet visitors, determine the nature of visits and personally escorts them to the appropriate location within the suite
  • Courteously provide basic information in response to request via phone or email or directs inquiries to appropriate IC staff
  • Initiate and respond to email, telephone, and letter inquiries, and provide requested materials
  • Duplicate, collate, and scan documents. May photocopy large volumes of research material, correspondence, reports, charts, and graphs
  • Manage the central inventory supply cabinets. Keep the supply closets neat and organized, ensure that supplies are restocked. Submit restocking requests for copy paper and other office supplies as needed
  • Initiate repair service requests for general office equipment including copiers and printers. Track toner usage using a spreadsheet, replaces toner cartridges as necessary. Submit monthly meter readings on copy machines
  • Personally distribute mail to staff offices on a daily basis. receive and sign for packages, assists staff in preparing large mailings
  • Provide visitor parking passes to guests in accordance with center policy
  • Track usage on a spreadsheet, reorders parking stickers as needed
  • Perform data management. Maintain/query data in local databases and prepares reports.

Profile:

  • Previous experience in an Administrative position with NIH
  • Inventory management experience
  • Travel experience using Concur
  • College degree required
  • Scheduling experience
  • Conference or meeting management experience
  • Excellent communication experience both written and oral
  • Extremely professional in all aspects
  • Excellent writing skills
  • Proficient in Microsoft Office Suite
  • Quick learner
  • Able to work remote and onsite if needed
