Bookkeeper/ Office Manager

This is an Office Manager/ Bookkeeper role for a small company in Manhattan. Must be independent and take on responsibility as the CEO is frequently out of the office. Must have excellent communication and time management skills.

  • Good Microsoft Excel skills
  • Looking for someone sharp with strong business acumen.
  • Strong written and verbal communication skills is essential

Bookkeeping Role:

• Post entries to GL

  • • Prepare bank deposits and bank reconciliations
  • • Prepare sales tax returns
  • Oversee payroll tax returns as filed by Paychecks
  • • Process payroll
  • • AP and AR
  • • Maintain frequent contact with client personnel by phone and e-mail
  • • Maintain strict confidentiality
  • • Administrative and clerical internal function, as needed.
  • Maintain Files of all accounting and booking documentation
  • Purchasing: Create Proposals, Invoices for client’s purchases to include cost of item, tax and shipping and handling
  • Responsible for getting quotes from vendors for pricing to create purchase orders.
  • Follow up with vendors once purchases are made to oversee completion dates and schedule deliveries.
  • • Enter vendor invoices and expense reports into accounting software
  • Receive and reconcile payments from licensing partners.
  • Office Manager description:
  • He or she will have the opportunity to work in a dynamic, small-team environment, where teamwork and cooperation are critical. The job responsibilities include, but are not limited to:
  • Maintain Files for the following :
  • All legal contracts to include licensing partners, Interior design contracts with clients and all other Legal documents
  • Maintenance for:
  • IT and related vendors such as cable company, networks solutions
  • See that items in need of repair or daily maintenance are fixed by managing agent and handy men or others if needed.
  • H.R. oversee employees attendance and enforce number of vacation days/sick days for payroll purposes.
  • Maintain files with employees current personal addresses and documentation
  • Maintain account current with Health insurance provider.
  • Maintain account current and active with Workman’s compensation
  • • Stock kitchen with food and beverages
  • Purchase office supplies
