CCI has a client who is seeking Advologix Consultant to perform the following tasks 

Project Scope 

  • Project kick-off meeting, determine ICA Project Team members and roles, assign ICA System Admin(s) and discuss with team, review project plan and timeline and client responsibilities, discuss project communication and schedule 
  • Finalize procurement of Advologix licensing and install in the sandbox to be used for development purposes 
  • Configure Advologix user and system-wide settings using recommended best practices 
  • Conduct an initial Advologix walkthrough for the ICA Project Team members 
  • Document the enhancements requested during the initial Advologix walkthrough, review with the ICA Project Team 
  • Prepare initial mapping of all data fields from all spreadsheet logs to Advologix objects and fields, determine custom fields that will be needed and to denote which are common across all practice areas for our unique to an area, review with ICA project team, get questions answered on fields where values differ from normal usage 
  • Create custom fields common to all practice areas to match those uncovered in the requirements phase or are needed for migration of spreadsheet log data 
  • Create all needed User Lookup fields on Matter to account for anyone that will be assigned to a Matter 
  • Configure Salesforce1 for mobile using standard best practices for Advologix setup 
  • Configure Salesforce Chatter features for org-wide use and record-based feed for Matters, Tasks, Staging Area and others as needed 
  • Build a View for "New Matters Assigned to Me" on Home Pages 
  • Set up Calendar sharing for all users 
  • Review and discuss the existing Matter numbering scheme and determine what will be used going forward, given that the values used in current scheme are going to be in other fields on the Matter and therefore aren't actually needed in the Matter number 
  • Determine overall Matter naming methodology that will work for all practice areas 
  • Notifications to users that incoming mail has been scanned and uploaded and needs review 
  • Configure Cross Reference Matters and/or Sub-matters to allow for linking of related matters to each other, determine XRef relationships values needed, define where needed on initial migration of Log files 
  • Create Matter Record Types, Page Layouts, Lightning Record Pages, and base Lightning Apps for each practice area to be further customized in Phases specific to each area 
  • Create default Global Actions to be used by most or all ICA users 
  • Build Drawloop templates for the following documents: 
  • General Memorandum 
  • Fax Coversheet 
  • Letterhead 
  • Plaintiff/Defendant/Court section for court related documents 
  • Discuss special security needs of ICA Legal with TEAM Solutions, especially around Accounts and Contacts that could be shared across departments and Legal's desire to have control over adding/changing of these records 
  • Create QA guide for TEAM testing of all aspects of this Phase 
  • TEAM QA testing of all aspects of this Phase 
  • Training materials/handouts preparation for general User Training 
  • Create user acceptance testing (UAT) guide for ICA Project Team to follow in their testing 
  • Assist with UAT of all aspects of this Phase for ICA Project Team  

GMAIL Integration 

  • Our assumption is that TEAM will be handling all aspects of the Gmail integration and any calendar synchronization between Advologix and the Google Calendar, given that they will be implementing this for the entire ICA organization. 
  • Advise TEAM on any unique requirements for ICA Legal 
  • Configure the Advologix Component for display in Gmail 
  • Configure Google calendar sync 

NetDocuments 

  • Review NetDocs options and discuss considerations with management team 
  • Configure Repository and add user accounts 
  • Finalize Cabinet configuration needed and create as necessary (assuming only one cabinet needed at this time) 
  • Implement base Cabinet security 
  • Determine Profile Fields needed for Cabinet and values needed in each profile field 
  • Set up Profile Fields in Cabinets 
  • Determine Workspace template needs for Cabinet 
  • Set up Workspace template for Cabinet 
  • Install NetDocuments' Salesforce app from the AppExchange 
  • Create custom VF Page in Salesforce to display Workspaces based on the record(s) determined 
  • Create custom "Add to NetDocs" Button for creating new Workspaces from within Advologix, add to page layouts 
  • Configure ND Override fields on Account and Matter 
  • Test creation of Workspaces from Salesforce 
  • Install ndOffice and ndOneClick on all workstations and test 
  • Conduct final user acceptance testing with the Project Team 
  • Provision for setup of Saved Searches, advanced searching training for select users, or additional security setup 
  • Formal user training on NetDocuments daily usage 
  • Training on uploading existing documents to NetDocuments (documents will not be uploaded in any automated way) 
  • Formal user training on Outlook, MS Office, and browser integration features 
  • Follow-up training sessions within the month following the go live date  

Training 

  • On-site Formal User training on Advologix basics - three (3) sessions of approximately ninety (90) minutes each, with eight to ten users in a session recommended 
  • On-site Formal User training for custom functionality by practice area - three sessions of approximately ninety (90) minutes each for Compliance, Collections and Legal 
  • Salesforce1 User Training for mobile device usage 
  • Saving emails from Gmail to Advologix 
  • Admin Training for subject matter experts (SMEs) on customizing Advologix fields, page layouts, views, reports, and workflow rules - one or more sessions totaling approximately three (3) hours 
  • Follow-up training - within the month after the Go Live date we will conduct four additional 60-minute sessions (remotely) to answer user questions and resolve issues for users that are not following best practices; this training is critical to ensure user adoption of the new system
