Job Summary

The Office Manager role is responsible for establishing a warm, welcoming and professional atmosphere for all clients, executives and staff members at all times. As well as being the team lead, this role is responsible for front desk operations

Key Responsibilities:
  • Greet employees and visitors, inform meeting organizers of arrivals
  • Maintain the front lobby area and front desk to ensure a well-organized, welcoming look
  • Lead staff of two office support personnel with the ability to hire and train team
  • Provide guidance on office processes and work with local stakeholders to maintain and promote a healthy work culture
  • Manage the access control system and issue badges to employees and visitors
  • Responsible for overseeing the ordering of office and kitchen supplies
  • Assist with Conference room bookings and administrative tasks
  • Speak knowledgeably about the office, building, surrounding areas, transportation, local restaurants and other points of interest
  • Ensure the cleanliness of all office space
  • Report all maintenance issues and act as dispatcher with work request orders
  • Interface with vendors to provide seamless guest support
  • Respond to inquiries and anticipate guest needs as well as general administrative support
  • Maintain a strong awareness of business activity and communitate all updates with team
  • Knowledge of security, fire, health and safety guidelines


Preferred Qualifications:
  • A genuine sense of hospitality, with a commitment to delivering a high standard of service
  • The ability to work under pressure, prioritizing tasks and juggling many jobs simultaneously, while constantly interacting with visitors in a public environment
  • Excellent listening and oral communication skills
  • Basic computer skills and knowledge of office technology / equipment
  • Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details
  • Discreet, ethical, and committed to maintaining a high degree of confidentiality
  • A consistently professional approach, with a mindset to take ownership and responsibility within and outside one's job domain
  • One to three years' experience in client service / housekeeping within a hospitality or corporate environment
