Position Purpose

· The Receptionist will be a flexible, multi-tasking self starter who performs general administrative functions and takes direction from management to deliver results in a professional and positive manner

Major Tasks, Responsibilities and Key Accountabilities

  • Answers all incoming calls on the multi-line telephone system in a friendly and professional manner
  • Greets visitors and notifies employees of their arrival
  • Processes returned mail and forwards property-related correspondence in a timely manner
  • Processes supply order on a weekly basis
  • Coordinates courier for outside print jobs
  • Secures the office and telephone system at day’s end
  • Must possess excellent verbal and written communication skills -- will be communicating with all levels of personnel, so clear and concise communication is a must
  • Excellent customer service skills and organizational skills are required
  • Must be dependable and detail-oriented
  • Must be a dependable, self-starter and be able to work independently without supervision
  • Must meet reasonable deadlines and have strong multi-tasking skills
  • Must have a positive and professional appearance, attitude, and demeanor
  • Must consistently contribute as a team player
  • Position demands accuracy and a sense of urgency

Nature and Scope

· Frequently has contact outside the workgroup

· Typically assignments follow existing routines or instructions

· Typically considers several options and past practice when problem solving

· Guidance is always available

· Consideration of best practices is encouraged as work methods can easily be adapted

Environmental Job Requirements

· Located in a comfortable indoor area

· Open work environment, seated in cubicle

· Must meet reasonable deadlines

· May be involved in mildly difficult situations
Minimum Qualifications

  • Must be eighteen years of age or older
  • Must pass the Drug Test
  • Must pass the Background Check

Education Required

  • Proficiency using Microsoft Office applications and Outlook email
  • The knowledge, skills, and abilities typically gained through the acquisition of a high school diploma and/or GED

Education Preferred

  • Proficiency using VMS HOA Accounting Software
  • Bachelor’s Degree preferred

Experience Required

  • Three years of relevant work experience
