The Community FoodBank of New Jersey is looking for an Administrative Coordinator to support our Executive Team. This role will report directly to the Executive Administrator and is located in our Hillside, NJ office.
The ideal candidate will be someone who is highly organized and detail oriented, has a sophisticated writing style, can play a role in managing highly sensitive projects, and has a passion for making a difference. You will create and execute calendars and schedules, including organizing complex activities such as meetings, travel, conferences and department activities for the Executive Team. You will act as a liaison with internal departments and outside agencies, including high-level Board Members while handling confidential and non-routine information. You will be responsible for processing invoices and ensuring deadlines are met on time. You may also take on many other duties regularly associated with office management, including filing, creating memos and reports, and performing other clerical duties while ensuring effective workflow in the Executive Office. You will serve as a back-up for the Executive Administrator, when necessary.
Qualified candidates will have at least three years in a high level administration position. Must have a driver’s license as some travel is required. Candidates should possess superior judgment, confidentiality, professionalism, and poise. Proficiency in the use of Microsoft Office 365, Word, Excel and Outlook Software is essential for success, along with a positive, can-do attitude, excellent communication and interpersonal skills, a high degree of self-motivation and the ability to work well on a team and learn new concepts quickly.
